Your Mission

As an Office Administrator your priorities will include maintaining the Office environment for pleasant and safe working environment and optimal efficiency. This will include Office building and contractor management, various front-desk activities such as maintaining the visitor log, badging and NDA support, and shipping, receiving and distribution of mail and parcels. Our Office Administrator's duties also include offering administrative support across the organization, such as maintaining office supplies, common area cleanliness, as well as assisting with invoicing, travel, expense reporting for a few leadership team members and organizing company sponsored events when needed.

Priorities can often change in a fast-paced environment like ours, so this role includes, but is not limited to, the following responsibilities:
• Coordination of office activities with Building Management and contractors, such as daily maintenance and cleaning.
• Assist with ordering, stocking and disposal of office supplies and consumables.
• Arrange regular health and safety initiatives such as flu vaccination arrangement, fire warden and first aid training.
• Assist with Workplace Health and Safety program planning, including responding to and reporting unsafe conditions and monitoring general condition of doors, alarms, etc.
• Event planning for Team meetings and Corporate Events.
• Receive vendors, visitors, and job applicants by greeting, welcoming, directing and notifying appropriate company personnel of their arrival.
• Maintain office security by employing guest logbook system, issuing visitor badges and issuing employee badges.
• Ensure reception area, conference rooms and general office areas are clean, stocked, and ready for use.
• Manage shipping, receiving and distribution of parcels and mail.
• Manage domestic and international travel logistics for key leadership team members ensuring travel is booked within company guidelines. Including: mobile technology, passport, visa requirements, travel insurance.
• Participate and coordinate virtual team events for remote employees.
• Other projects as directed.
Other Administrative work includes, but not limited to:
• Organize induction schedules for new employees.
• Administer the processing and payment of expense reports using Oracle.
• Budget Tracking for Travel & Events and the Reconciliation of AMEX charges.

Player Profile
• A minimum 5 years' experience
• Tertiary qualifications or higher
• Excellent written and oral communication
• Strong proficiency with Microsoft Office, particularly Outlook, Excel and PowerPoint
• Experience in Travel & Event management (both Internal and external)
• Strong organizational skills and detail-oriented
• Ability to work independently and work well under pressure required
• Flexible and possess the ability to manage multiple tasks timely and efficiently
• Most importantly must be a go-getter, ambitious and tenacious - a team player and a strong support advocate.
