Facilities & S3 Admin Specialist

Assist Facilities and S3 Administration with administrative tasks for the different teams they support. Provide Studio Service Center coverage and administrative help as necessary. Work with different teams and managers in Facilities, Backlot Trades, Workspace Solutions, and S3 to provide regular reporting, cost tracking and billing. Perform special projects as assigned.

Core Responsibilities
• Process backlot time sheets, including reviewing time sheets for completeness, entering labor hours into Archibus, verifying accuracy of input and making corrections if needed.
• Provide back up in the Studio Service Center as needed, e.g., creating gate passes, answering calls and emails, processing badge requests, processing conference room reservations, scheduling security escorts and performing in-person and virtual vaccine verifications.
• Process billing to productions, including monthly charges for power usage and electrician support, charges for Medical department staffing and charges for COVID testing. Research and resolve billing issues or problems with clients.
• Assist Facilities Data Analysts with reports for their analysis. Provide cost runs as needed. Under the direction of Facilities Data Analyst, review and correct reports. Provide support and organize projects to Facilities and S3 departments as needed.
• Assist Relocation Manager by updating move matrix information for upcoming moves and performing field verification prior to and after moves.
• Perform other administrative duties including responding to calls and emails, ordering supplies & preparing documents for storage

Job Requirements
• 4-6 years of relevant experience
• Education: High School Diploma
• Experience with Service Now, Traction Guest, Nice InContact, Track Tik, and IDM preferred but not required
• Solid written and presentation skills
• Asks the right questions to analyze situations, able to carefully define the problem, does not rush to conclusions
• Sees the big picture, able to connect the dots
• Flexible and open to change
• Builds trust and productive relationships across SPE
• Knowledge of
• Polices and procedures, customer service protocols, phone and email etiquette. General office procedures. Knowledge of Facilities, Construction, and Union Trades and contracts is helpful but not required. Basic Accounting Concepts.
• Skill in:
• Excel, Word, Outlook, Teams, SharePoint, Archibus and Showmgr. Attention to detail, excellent time management and organizational skills. Excellent written and verbal communication skills. Strong analytical skills and sound judgment. Self Starter, proactive. Problem Solver.
• Ability to:
• Analyze and prioritize issues, identify causes and implement results-oriented solutions; work both independently and collaboratively; stay calm and focused in high pressure situations and deescalate when necessary. Write clear and concise emails and correspondence.

The anticipated minimum scale rate for this position is $18.85-$24.79/hour.This role qualifies for benefits pursuant the collective bargaining agreement.
