Job Description

The Administrative Assistant III, contributes to the accomplishment and success of the Global Marketing EVP, SVP Global Marketing and the Global Marketing Department for Sony Pictures Home Entertainment and Television Distribution. This individual provides high-level administrative support within a hectic environment, including managing calendars, scheduling meetings, answering phones, arranging conference calls, managing correspondence, receiving guests, handling information requests, preparing reports and invoicing, travel arrangements and expense reports. In addition to a multitude of administrative tasks, the assistant will also provide marketing support for meeting, event and conference planning & preparation when necessary. The applicant must possess exceptional organizational and interpersonal skills, have the ability to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner, and thrive in a dynamic, creative, and challenging environment. Discretion and attention to detail are a must.

ADMINISTRATIVE SUPPORT for both EVP & SVP:
Overall administrative responsibilities include, but are not limited to the following:
• Manage calendars, answer phones, appointment/meeting scheduling, conference room booking, and meeting set ups (equipment prep., etc.)
• Prepare and process expense reports and invoices
• Manage sensitive and confidential information
• Arrange travel, both domestic and international
• Courier calls and distribution of mail and courier deliveries
• Establish and maintain cooperative relationships with all levels of internal management and staff, as well as outside clients and vendors
• Schedule and organize internal screenings, working with post-production and security
• Maintaining and archiving product inventory
• Manage ordering of finished product for internal and external parties
• Copying, filing, and routing office collateral, printouts
• Ordering, storing and distributing supplies
• Organize large group meetings and departmental conferences, working with various business groups (travel, facilities, event planning, A/V, IT, etc.)
• Document current policies and procedures in the department guidelines as well as implement new procedures for improvement
• Provide administrative support for other department executives as needed
• Handle departmental projects as assigned and other miscellaneous duties as needed

QUALIFICATIONS:
• BA degree with at least 3 years of administrative experience and experience managing two+ desks
• Microsoft Office suite of products including Teams, Power Point, Excel, Word, Outlook, and a general understanding of applications and systems
• Must have strong computer skills
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Highly motivated self-starter who is extremely detail-oriented, and hardworking, with exceptional organizational and interpersonal skills
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
• Must be a team player and must be flexible – an ability to work well in an environment where needs and priorities are constantly subject to change
• Dependable, with the ability to handle confidential information with discretion
• Shows initiative and can problem-solve to find alternate solutions to projects and situations
• Be in the know regarding LA restaurants, entertainment, and cultural activities
• Understand worldwide geography and time zone differences
• Be flexible for overtime as necessary
• Must be available to be in the office a minimum of 4 days per week

The anticipated base salary for this position is $29.47/hour to $38.70/hour. This role may also qualify for incentives and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
