Job Description

UTA seeks an International Festival Assistant who will have previous experience working within the Entertainment industry and an understanding of how a talent agency functions.

You will be responsible for providing administrative support to the International Festival department. You'll be responsible for administrative tasks including data management, meeting coordination, managing guestlists and collaborating with other internal teams to ensure seamless communication.

What You Will Do:

Your responsibilities will include, but not be limited to:

Festivals:
• Data Management: Assist in managing the data flow and inputting information into various Festival systems, including but not limited to:
• Festival Database
• Master Offer Tracker
• Submissions Tracker
• Payment Terms Tracker
• Festival Open Slots Tracker
• Agent-Assistant Coverage Tracker
• Top Line Priority List
• Quick Confirmation List
• Submission Process Management: Help collate and manage the festival submission process for all territories
• Assist the festival and territorial teams to ensure the timely receipt of submissions and necessary information.
• Maintain a comprehensive festival submissions database, including relevant details and status updates
• Assist in the tracking of submitted materials
• Ensure adherence to submission deadlines and communicate with submitters regarding the status of their application
• Meeting Coordination: schedule and coordinate office promoter meetings, ensuring effective communication and time management between the promoters and agents
• Managing high demand festival guestlists
• Managing communication groups (such as WhatsApp) for agents attending key festivals
• Diary and Travel Management: Assist in managing the diary and travel arrangements for the festival team (including adding agents attending festivals in the UTA Global Calendar), ensuring efficiency and adherence to schedules.

Territorial:
• Data Management: Help manage the data flow and keep various Territorial systems up to date, such as:
• Keeping territorial folders organised and ensuring they contain the latest information
• Taking detailed notes during weekly territorial/festival meetings and updating relevant documents accordingly
• Country information: Maintain detailed information about each territory, including tax regulations, media partners, genre strengths in the region and potential sponsorship opportunities. Keep this information updated and readily accessible to the department
• Local Live Business Database: Manage a comprehensive database containing information on festivals, promoters and venues within each territory. Regularly update these databases to facilitate efficient decision-making and collaboration with local partners
• Collaboration: Work closerly with the Territorial and Festival teams to ensure seamless coordination and communication regarding territorial-specific information is easily accessible by the department
Other:
• Help with the creation and management of Certificate of Sponsorships (UK work permits) for International Agents based outside of the UK

What You Will Need:
• Experience in a similar role/related field and be looking to take on a new challenge
• General understanding of the entertainment industry and the nature of a talent agency
• Excellent verbal and written communication skills
• Excellent organizational skills
• Discretion at all times, particularly when dealing with sensitive client matters
• Ability to prioritize a busy workload
• Ability to develop business relationships
• Previous experience in a related field is desirable
