Job Description

UTA seeks an Administrator, Workplace Services at the HQ office in Beverly Hills who will administer the workflow of processes for the workplace services department. The successful candidate will be passionate, proactive, quick-thinking, flexible, and able to pivot when necessary. This person will be thorough, able to juggle multiple responsibilities with a strong emphasis on organization, and an unwavering attention to detail at all times. This is a demanding and fast-moving position that requires someone who is quick on their feet, a positive thinker, and able to exercise good judgment. Excellent communication skills are essential to the role.

The pay rate for this role is at $25.00 per hour with benefits and paid time off.

What You Will Do:
• Sorts and prioritizes workplace service requests and dispatches team accordingly with ''WPS Requests'' inbox
• Submits all requests and forms required by building via Angus, BMS and other online ticket systems for: Janitorial Requests, HVAC requests, Vendor COI/Access Forms
• Manages daily updates to reception/workplace service/catering/conference room/call center schedule
• Secures desk coverage when an employee is out sick or on vacation
• Submits approved vacation requests to Time-off requests
• Schedules coordinator, receptionist, greeter for weekly screening and events
• Tracks all Fine Art related inquiries
• Places weekly Housekeeping, Café, and WPS orders for Costco, Smart & Final, Alta Food Craft, Bagels, Amazon, Home Depot, and update order directory/catalog
• Schedules and coordinates Service Calls for appliances, small projects, and other maintenance issues
• Maintains Floor Warden Information/Emergency contacts
• Maintains roll call sheets for each floor and the floor warden map that includes: Floor wardens, First aid kits, Emergency exits, Locations of fire extinguishers, Maintains floor warden's info - including their floor, position, their mobile, backpack inventory, and who is new/untrained
• Manages Emergency Contact list – WPS, HR, building, etc.

What You Will Need:
• 2+ years of experience in facilities, office management, project management or similar role
• Familiarity with office management systems
• Ability to work and communicate professionally, verbally, and in written form with internal and external customers
• Demonstrated customer service excellence
• Self-starter who is able to learn new functions quickly and accurately; anticipate departmental needs and take proactive steps to follow through with proposed solutions or alternatives
• Remain calm under pressure and work well with various personality types
• Extremely detail-oriented, organized and able to multi-task in a fast-paced environment
• Ability to meet deadlines and adjust to changing priorities
• Outstanding interpersonal skills: must display patience and be focused on customer service and satisfaction
