People & Organization (HR) Trainee, Strategic Corporate Functions - Fall 2022

This Fall Professional Trainee position is from October through December 16th (with option to extend to May) and all candidates must be able to work 40 hours a week.

Under general supervision, the People & Organization (Human Resources) Trainee facilitates critical human resource processes for the Corporate Group and provides assistance to P&O Business Partners. The P&O Trainee performs a wide range of duties within a framework set by the HR department to include confidential data requests, reporting, and operational, administrative, and project support. This role is a great opportunity for someone passionate about furthering their HR career and gaining more in-depth knowledge about HR policies and practices in the entertainment industry.

RESPONSIBILITIES:
• Provide project support to 6 P&O Business Partners (recruitment, compensation, learning and development)
• Manage and process timely employee data changes, including promotions, supervisor changes, terminations, contract submissions, compensation requests, and opening job requisitions
• Partner with HRIS on supporting tools/systems and troubleshooting issues
• Compile and share agenda items for recurring meetings
• Coordinate with Talent Acquisition team to assign recruiters to open roles on weekly basis.
• Maintain open job requisition report. Lead weekly meeting with BPs and Talent Acquisition team to review.
• Maintain contract reporting. Lead meetings with BPs and ensure accuracy and timeliness of contract actions.
• Manage and update reporting, including job requisition reports by subdivision; reporting on annual cyclical processes (such as talent and compensation planning) and provide additional ad hoc reporting support to gather and analyze data (e.g., compensation, headcount, contract end dates, anniversaries, etc.)
• Assist with creation of spreadsheets in Excel, may include pivot tables and Vlookup for analysis
• Develop Excel reports and communication materials for Salary Review
• Analyze survey data and distribute metrics to P&O BPs on an as needed basis
• Create and maintain org charts for team using Visio/Powerpoint
• Manage updating Corporate P&O SharePoint site
• Build and verify distribution lists for internal communications
• Maintain comprehensive knowledge of HR systems, programs, plans, policies, and processes
• Manage nomination process for interns, trainees and all learning programs
• Identify opportunities to improve and streamline HR administrative processes
• Provide calendar support to the BPs as needed

Support for SVP, P&O:
• Managing SVP, P&O's calendar and monitor office phone
• Coordinating bi-weekly staff meetings – booking conference room/setting up conference dial in/managing guest speakers/taking notes with action items
• Meeting coordination - booking conference rooms/meeting preparation/catering if necessary
• Processing expense reports and invoices
• Handling travel arrangements – booking flight, hotel, grounding transportation, etc.
• Create, edit, and update documents or letters using MS Word, Excel, and PowerPoint – formatting, etc.
• Other general administrative duties as necessary (processing mail, copying, filing, etc.)

Support for VP, P&O:
• Scheduling meetings involving multiple attendees
• Handling travel arrangements – booking flight, hotel, grounding transportation, etc.
• Processing expense reports

QUALIFICATIONS:
• Relevant education or experience in Human Resources
• Positive attitude and the ability to be proactive, resourceful, and flexible
• Detail-oriented and excellent follow-through skills
• High comfort level in a fast-paced, high-volume creative work environment
• Ability to analyze data and provide key takeaways to inform strategy
• Intermediate (at a minimum) knowledge of Microsoft Outlook, Excel, Word, and PowerPoint
• Excellent written and verbal communication skills
• Demonstrated ability to prioritize and meet deadlines
• Exceptional organizational skills with the ability to work on multiple tasks simultaneously
• Basic project management skills
• Strong ethics and integrity, including the ability to maintain the highest degree of confidentiality and handle sensitive information and materials
