Overview

This is an executive assistant role supporting the SVP, Regional CIO EMEA/Global Head of Content Platform Technology.

The SPE EMEA IT Department supports all Application, Infrastructure and Network needs for Sony Pictures Entertainment within Europe, Middle East, and Africa (EMEA). The Regional Chief Information Officer has over 2,000 users to support throughout an expanding 40+ offices within the EMEA territories. The RCIO reports directly to the Global CIO based in our head office in Culver City, LA.

Within the London office, the RCIO works closely with the EMEA IT Management team and teams based in EMEA but undertaking Global roles, including VPs and Directors, all of whom will also require a level of administrative/personal support.

In addition, as part of the Global role there are several teams based in the US who also require co-ordination and support.

Key Responsibilities Include:
• Ownership and management of executive's diaries.
• Setting up complex meetings within different time zones.
• Manage the EMEA IT Communications inbox and send comms to EMEA users as needed.
• Discretion required when dealing with private and confidential documentation.
• SVP able to trust and confide in his PA with confidential matters.
• Liaising with local, territories and LA head office as necessary.
• Professional manner when dealing with business clients and heads of business.
• Be part of the team and maintain communicative and helpful relationship with all IT Staff, other PA's in the lines of business within the bounds of professionalism and discretion.
• Arranging internal/external meetings, lunches/hospitality etc., organisation of internal/external meeting rooms, and extensive travel arrangements as required.
• Creating expense reports using Concur and then tracking and ensuring that expenses and invoices are paid as required. Helping EMEA IT Team with their expenses.
• Organise training with our industry partners for the European Team as requested and authorised by line managers. Update of the current training matrix. Track and ensure all EMEA IT are completing twice yearly IDP reviews.
• Organisation of conferences internal and external, including liaising with hotels, facilities and making specific arrangements as required.
• Raising Purchase Orders using SAP system as required, familiarising with the bespoke process and coding systems we have implemented. Raising Vendor Maintenance Requests as needed.
• Ownership of the EMEA IT Team Microsoft Teams and SharePoint sites and ensuring regular updates from relevant staff.
• Updating org charts, distribution lists and creating PowerPoint presentations as requested.
• Booking of restaurants for dinners, conferences, and private parties.
• Organisation of team building or social events for the team.
• Liaise with the business and EMEA IT to ensure all IT equipment is set up for press junkets. This includes contacting the venue/hotel re connection requirements; booking travel and/or taxis; booking and raising POs for external printers and ensuring printers are whitelisted on our network.
• Assist with relevant IT projects – take meeting notes, update trackers, log and chase actions, send communications as needed etc.
• Assist with ad-hoc requests for stationery / business cards / post / shipping / courier requests / taxis

Qualifications and / or Experienced Required
• Typically, 2-3 years' experience of working in PA role at an executive level
• Highly numerate and computer literate – must be very adaptable and confident with computer systems (particularly databases)
• Very strong knowledge of Microsoft Office 2016, Word 2016, Excel 2016, PowerPoint 2016
• SAP (not essential, training provided)
• Concur (not essential, training provided)
• SharePoint (not essential, training provided)
• High level of organisation and ability to multitask, set priorities and meet deadlines whilst maintaining an extremely high level of attention to detail
• Excellent communication and interpersonal skills
• Must be trustworthy and discretion required when dealing with private and confidential documentation
• Professional manner when dealing with business clients and heads of business
• Proactive, enthusiastic and confident
• Team player
• Demonstrable experience supporting multiple executives, managing busy diaries, coordinating market schedules and making global travel arrangements
