Job Description

Reporting to the VP of Systems Engineering, this role provides support to the systems department in a very dynamic and fast-paced environment. You will be responsible for the communications & well being of the systems team across multiple locations. This includes coordinating departmental meetings, assisting with performance reviews & performing team health checks.

Responsibilities:

Primary areas of responsibility will include:
• Be an advocate for the Systems Team and interact with different departments, including local and global teams of management, technical staff, coordinators
• Support the Systems teams by handling departmental meetings, calendars, meeting agendas and notes and overall department operations
• Organize social events and fun internal and external activities
• Develop, maintain, and audit department documentation including process and procedures
• Creation and maintenance of departmental management tools, such as spreadsheets, presentations, memos and templates
• Collect, analyze, and report department data to management
• Onboarding and offboarding team members
• Track leave requests and attendance; collate forms and reports and distribute to management and finance
• Facilitate probation and performance reviews

Preferred Skills:
• Ability to multitask, problem solve and work independently in a fast-paced environment
• Superb attention to detail and ability to work on repetitive tasks
• Strong communication, interpersonal and customer care skills
• Demonstrated experience working with schedules and deadlines

Preferred Requirements:
• Previous solid experience coordinating a department or an office in a high-pressure environment
• A positive attitude & a natural desire to organize teams and processes
• Superb attention to detail and ability to work on repetitive tasks
• Strong communication, interpersonal and customer care skills
• Demonstrated experience working with schedules and deadlines
• Experience managing departmental workflows
• Proficiency in G-suite, Keynote & general office applications
