Overview and Responsibilities

We are looking for a Department Assistant who will be responsible for providing administrative support to the Kids and Family Growth, Business Development, and Operations team to ensure that the day-to-day operations of the department run effectively and efficiently. This person will be an integral member of the team, helping facilitate communication and overall team health across Nickelodeon & Awesomeness!

Responsibilities:
• Provide full-cycle administrative coverage to department
• Prepare meeting notes, communicate follow-ups, and manage agendas for key department meetings (including creative meetings)
• Assist with creating performance reports, presentations, and status reports
• Handle appropriate tables within Airtable to support content operations, growth initiatives, and creative development
• Consolidate financial documentation across the department
• Maintain calendar for Senior Vice President Growth/Ops, and Vice President, Production
• Set up meetings, including all meeting logistics
• Handle travel arrangements for the SVP and select team leads
• Prepare T&E reports for the SVP and VP
• Process invoices in the system as necessary
• Handle general clerical tasks such as photocopying, faxing, overnight deliveries, and messenger deliveries
• Order supplies and track expenses for department
• Collaborate with all levels of management in all departments throughout the company
• Prepare e-mail correspondence to all levels of business
• Maintain team vacation schedules

Basic Qualifications
• 1-2 years of experience in entertainment/media space (strong internship experience considered)
• Candidate should possess excellent computer skills: MS Office (Word, Excel, and PowerPoint), Outlook, and Internet Explorer; Google Suite

• Ability to prioritize work under tight deadlines and be able to multi-task well
• Demonstrated verbal and written communication skills
• Great attention to detail, excellent follow through and organizational skills
• Excellent with interpersonal communication with the ability to interact with all levels within an organization, particularly at senior levels
• Energetic, optimistic, and nimble teammate who can confidently manage multiple tasks and inquiries from numerous internal and external departments
