Role Summary

In this role, reporting to the Vice President, Corporate Real Estate & Facilities Management, you will assist in the management of the company's real estate department via administrative/organization support across all facets of the organization's business. You will be a go to resource for the real estate portfolio. We are looking for someone who also can take a leadership stance on ad-hoc projects.

Key responsibilities
• Effectively use databases and other software to work with real estate leader to coordinate the flow of information from brokers, landlords and developers, across all markets.
• Coordinating information, tasking capex budgets and creating agendas and support materials for meetings as well as working on follow-up items and projects.
• Proactively project manage location deal/development process by reviewing, cross checking and updating new locations and LOIs, leases, license agreements and making sure they are posted and shared in a timely manner across the organization using current systems.
• Manage critical date processes including lease amendments, leases and licensee agreements as they pertain to terminations, renewals and expiration dates.
• Draft and support the preparation of deals for Real Estate Committee for approval, including lease analysis, ensuring accuracy of possession and openings; and ensure relevant data/information is shared throughout the organization through relevant tracking systems and reporting tools
• Network with real estate industry peers, landlords, other specialty retailers, and industry/trade associations and stay informed of business and industry trends
• Provide administrative support for the Real Estate portfolio, including but not limited to deep diving into leases and other real estate documents, and managing landlord contacts
• Rent Management coordination with accounting
• Timely notices for renewals or terminations.
• Coordination of new lease documents into the system, creating appropriate notification dates, etc.
• Provide support on large-scale construction/design projects and daily tasks
• Engage with key stakeholders for projects, such as tenant alterations and tenant improvement allowances
• Assist with lease renewal and cost projections.
• Complete and distribute monthly reports (i.e. critical dates and portfolio change reports).
• Ensure accuracy of business terms for estoppels and SNDA's.
• Interact with any/all third-party service providers in coordinating accurate lease abstraction and various real estate activities
• Create and develop real estate presentations to support internal and external communications
• Report on our portfolio status and options through use of our lease admin tool
• Closely monitors each project he or she manages to ensure that projects remain on track, meet deadlines, stay under budget, maintains quality standards, and develop according to plan.
• Coordinate and maintain necessary Occupancy, Zoning/Use and other Real Estate related permits including environmental phase 1's, PCA's, discharge septage/wastewater and flood control district permits.
• Perform all responsibilities in a fast paced, constantly changing environment
• Develop and manage a pipeline of real estate transactions
• Other duties as assigned.

Requirements
• Demonstrated ability to establish processes, workflows, standard procedures
• Ability to work independently while maintaining all deadlines and critical date obligations
• Effective time management and organization skills
• A strong ability to communicate clearly, effectively, and professionally
• Detail oriented mindset with the ability to constructively challenge the status quo
• Solid knowledge of data modelling software, particularly Excel
• Ability to establish credibility quickly and possess the ability to develop productive business relationships

Education/Experience
• 3 - 5 years of related professional experience, with at least 2 years of experience in commercial real estate (asset management)
• Demonstrable track record of success in organizational, administrative and analytical thinking, with at least 2 years of experience on either the tenant / landlord / owner, developer, or brokerage side of the business
• Fundamental and applicable real estate coordination experience within a corporate real estate organization
• Experience with global real estate portfolios
• Experience and competence utilizing commercial real estate software platform
• Detail oriented, and adapt to changing priorities
• Strong organizational skills, with the ability to accommodate fluctuating needs and deadlines
• Excellent communication skills, both verbal and written
• High emotional intelligence with the ability to thrive in a fast-paced, dynamic environment
• Excellent judgment, project management, and problem-solving skills
