Job Description
The Human Resources Coordinator is responsible for providing direct administrative support to the Human Resources Department, including:
• Supporting the day-to-day and administrative needs of the Department;
• Coordinating the staff and freelance onboarding & offboarding processes;
• Documenting and organizing compliance documentation: policies, procedures and disclosures;
• Working closely with the Accounting and Payroll Departments;
• Supporting the recruiting processes;
• Collaborating with the Operations Department on employees-related events.

Major Duties and Responsibilities:
• Support the day-to-day and administrative needs of the Department:
• Field Department related questions;
• Maintains relationships with key personnel to ascertain necessary production and employee information;
• Assist with company-wide communication;
• Position will perform specific projects as dictated by the Manager or Company on an as needed basis.
• Coordinate the staff and freelance onboarding & offboarding processes:
• Regularly track and manage freelance onboarding to ensure start paperwork is being signed by the employee and company representatives;
• Generate all changes in relationship paperwork for current and departing employees, including forms, packets, unemployment, COBRA, etc.;
• Communicate changes in a timely manner to our third-party payroll company to meet payroll deadlines and compliance requirements as well as Workday, our internal HRIS system;
• Upload and support timecard approvals;
• Work closely with the Accounting and Payroll Departments.
• Document and organize compliance records: policies, procedures and disclosures:
• Works with third party benefits administration to identify individuals who are active and eligible for benefits enrollment; ensure compliance requirements for benefits eligibility and enrollment;
• Oversee I-9 processing, ensure compliance requirements and documentation;
• Administers third-party Harassment Prevention Training to all members of active productions;
• Field Unemployment claims, wage orders, verification of employment, workers compensation and disability claims;
• Maintains several ongoing spreadsheets and charts, including current employees, loan-outs, onboarding grids, etc.;
• As needed will participate in employee relations process by drafting notes, preparing correspondence, and conducting minor employee relations interviews to accompany larger investigation.
• Work closely with Corporate, the Accounting and Legal departments to support compliance reports and potential audits i.e. track employment start dates, rates, and end dates:
• Alongside the HR Manager, the HR Coordinator will manage the digital employee personnel files to ensure documents, forms, and correspondence are appropriately filed: employees relations, complaints, requests, exit interviews, etc.
• Support the recruiting process:
• Position will assist with the recruiting process including compliance requirements;
• Posting on job boards;
• Vetting candidates;
• Scheduling interviews;
• Sending rejection letters.
• Work closely with the Accounting and Payroll departments:
• Verify employee sick and leave balance;
• Communicate most recent employees' changes.
• Collaborating with the Operations Department on employees-related needs:
• Support the company's culture by collaborating with the Operations Department on employees-related events;
• Assist with company-wide communication to support employees-related events;
• Collaborate with Operations to ensure a supportive flow of operations by addressing needs: parking, key cards, etc.

Education and Work Experience:
• 3 years of experience in Human Resources as an HR Assistant or HR Coordinator;
• Must be proficient in Microsoft Office (Excel, PowerPoint, Word) and comfortable using several different software platforms; knowledge of Workday or Production software preferred;
• Knowledge of the entertainment industry is not required but a plus;
• Must be comfortable with the Macintosh Operating Systems.

Requirements:
• This position is hourly with overtime as deemed necessary;
• Must be able to lift 15 lbs;
• This position operates in a professional office environment;
• This position routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines;
• This position will not require travel;
• This position does not require the use of a company or personal vehicle for work related tasks;
• This is a full-time in-office position. The hours for this position are 9:00AM – 6:00PM;
• This position requires heavy computer use so the candidate must be able to sit for the duration of their shift.

Per local requirements and in the interest of transparency, the range shown below reflects the prevalent current hiring range for this position. Hiring pay rates are based on a number of factors, including location and may vary depending on job-related qualifications, knowledge, skills and experience. Hiring Range Minimum:
$64,480 annually

Hiring Range Maximum:
$30 annually
