Job Description

POSITION: Production Coordinator

REPORTING TO: Operation Manager

RESPONSIBILITIES:
• Perform a variety of duties to support department and team objectives
• Assist team members to submit or escalate Helpdesk tickets when appropriate
• Directly responsible for adhering to all company policies and procedures
• Responsible for providing company policy & procedure information to team members regarding purchasing, expenditures, travel, use of facilities, and equipment use
• Facilitate the onboarding of new hires; coordinating with Recruiting, HR, IT and managers
• Onboard new team members; ensure desk/equipment setup, first day pick up, team area orientation & initial introductions
• Space planning and coordinating internal moves
• Assist team members with general HR and payroll related inquiries
• Submit Oracle account set-up requests for new team members
• Process reimbursements using the iExpense tool and process Amex reconciliation monthly for EASH and staff business expenses
• Purchasing – hardware/software, office supplies, team snacks, misc.
• Contract administration using Salesforce tool
• Manage meeting room and manager calendars when requested
• Coordinate meetings and team events as well as catering
• Plan and coordinate team building events and activities
• Responsible for proactively maintaining department common areas and participating in creative sessions to appropriately brand these areas
• Coordinate shipping / couriers
• Attend information / training sessions related to new studio processes; communicating or providing additional training to team members as needed
• Develop and maintain strong working relationships with internal and external partners
• Extensive travel coordination working closely with team members & Travel Team and creating travel packages. Processing travel Business Visa's when required
• Responsible for storage closet space, organization, stocking, etc.
• Assist with supporting EA Studios Content training programs as required
• Provide Production Coordinator support to client groups within EA Studios Central Services as needed
• Perform any other duties as assigned by manager with accountability and responsibility defined prior to the commencement of these duties.
