Job Description
The Assistant to Post Production provides primary and specialized administrative support to the VP of Post Production and secondary support to the Post Production team as well as additional Executives or leaders as needed and assigned. This role serves as the primary point of contact for the office of the VP, Post Production with an emphasis on complex daily scheduling and project support. This position is an integral member of Pixar's executive support team and plays a key role in helping cultivate a strong and vibrant studio culture.

RESPONSIBILITIES:
• Proactively manages VP of Post Production's calendar with fluency and accuracy; with attentive detail to fluctuating and conflicting schedules
• Exercise judgment and prioritizes schedules and tasks accordingly
• Effectively communicates all meeting and schedule changes and updates all parties immediately
• Foster a loyal and committed partnership with primary manager
• Establish a positive rapport with other assistants, department managers and studio leadership
• Serve as backup for post coordinator functions, such as booking external recording studios and studio teachers for dialogue recording sessions, invoices and receipts, post calendar updates, etc
• Actively participate in the assistants' community
• Regularly handle sensitive information in a discrete and confidential manner
• Create and support a friendly and professional atmosphere within production offices
• Preserve and promote Pixar's culture of respect and innovation
• Assist with preparing materials for presentations in Keynote, PowerPoint, etc.
• Special projects as needed
• Order and maintain swag, prepare gift bags as requested, send holiday cards
• Organize VIP studio tours as requested
• Field requests for speaking engagements and interviews, partnering with Publicity to manage and facilitate involvement in approved requests
• Book travel and create detailed itineraries for Post team, Editorial and Skywalker, as needed
• Manage and reconcile American Express account, expense reports, invoices and receipts as they pertain to production or department
• Coordinate logistics for on/off-site meetings, previews, Skywalker events and department morale/team building events
• Successfully organize and manage the day-to-day tasks and operations, which may include but are not limited to:
• Phone, email, and mail correspondence
• Shipping
• Contacts and electronic and paper files
• Department manuals, processes, procedural documentation
• Office supply needs
• Working meals and catering needs
• Craft Service for the postprod team

QUALIFICATIONS:
• Bachelor's degree preferred
• Three to five years administrative experience supporting in-demand individual in dynamic office environment preferred
• Experience and interest in a film or entertainment-related field preferred
• Strong organizational skills and attention to details
• Superior interpersonal skills in both verbal and written communications
• Ability to prioritize multiple requests and projects in fast-paced, deadline driven environment
• Adaptable to ever-changing circumstances, situations and people
• Willing to take initiative and resolve problems creatively and resourcefully
• Both a strong team player and an independent worker
• Customer service oriented
• Discrete professionalism required
• Proven ability to anticipate needs and proactively address issues or concerns
• Proficient in Microsoft Office, PowerPoint, Wiki, Keynote, Filmmaker Pro, email and calendaring programs and a quick learner of new applications
• Familiar with both Mac/PC

This position is required to be onsite a minimum of 3-4 days a week and may be required to work overtime, as needed. This is a non-exempt position eligible for overtime pay.
