Audio Billing & Admin Coordinator

Position Overview

Deluxe Media Audio is seeking a Audio Billing & Admin Coordinator to undertake a variety of finance & admin duties based in our Audio department.

This role will link the Audio, Finance and Billing teams to ensure work orders are billed correctly, efficiently and quickly, as well as supporting the wider audio team with ad hoc admin duties.

The candidate must be proficient in Microsoft applications such as Excel & Word. Previous admin role & billing experience needed. Flexibility on hours required.

Main Duties:
• Work with finance, account and billing teams to manage and assist with work order billing, PO's & scheduling
• Send cost breakdowns to clients for scheduled work
• Creating and maintaining PO's & invoices for clients & intercompany departments
• Input & maintenance of work orders within internal billing system
• Oversee and update billing trackers
• Schedule & assign booked work to available Audio rooms
• Arrange freelance staff bookings & scheduling
• Book accommodation & travel if requested by clients
• Send facility invitations to visitors, studio representatives and clients
• Creating and sending daily audio delivery lists for staff & clients
• Liaise with clients regarding mix/project related correspondence
• Maintaining client rate cards
• Assisting with monthly metrics & forecasting
• Oversee client & staff facility passes
• Assist with staff & client expenses
• Book couriers for deliveries
• Maintain and update internal & client excel sheets/trackers
• General file management duties
• Maintaining audio archives trackers

Preferable experience and skills include:
• Strong organisational skills with meticulous attention to detail
• Excellent communication skills, written and verbal
• Able to work under pressure and meet very tight client deadlines
• Capable of working in a team and being a very strong team player
• Available to work long hours and weekends to meet clients deadlines as requested. These hours could be at very short notice
• Willing to learn new technology and take on new responsibilities as and when needed
• Adaptable and dynamic approach to a fast paced environment, and to learning new processes & workflows in a growing department
• Full UK driving license preferable but not essential
• A basic understanding of Audio Technology advantageous – i.e. various file formats, the audio post production process, ProTools
