Part-Time (20 hours per week), Fixed Term Contract (3 months)

Location: Roma or Vicenza, Italy

Position Overview

As an Admin Assistant, your primary focus will be to assist in coordinating the flow of information among different stakeholders, including account managers and client contacts in Italy and the finance team in Spain. In this role, you will be checking Deluxe web portal for exhibitors from a billing point of view and you will be monitoring PO's and sales orders across platforms and expected to manage them according to the client expectations and communicate any issues to your functional manager.

Role and Responsibilities
• Assist the Sales Management department with administrative and billing tasks;
• Receive updates from the client, review with stakeholders and communicate responses back to the client.
• Oversee billing workflow per client requirements.
• Review and cross-checking of PO and sales orders.
• Answer client requests e-mails written and verbal communication in Italian.
• Ensure that all client specifications have been respected.
• Act as a point of contact with Finance team in Spain to meet client needs.
• Give support and answer client's queries in a timely manner.
• Provide support to the sales team with other admin or client tasks on an as needed basis.
• Guarantee excellent communication and agility to deliver on time, meeting client expectations.
• Provide daily reporting to Sales Director.

Key Requirements

The ideal candidate will be able to communicate clearly and professionally with internal as well as external stakeholders, as well as:
• Italian as first language, fluent in English and possibly Spanish.
• Detail-oriented and focused.
• Ability to work in a fast-paced environment.
• Ability to work well individually and as part of a larger team.
• Previous Finance/Billing experience an advantage.
