The Role

The New York office is seeking an Assistant to join CAA Sports' Executive Search team. The Search team specializes in recruiting C-level and senior executives, non-executive directors, and board-level executives around the world, helping our clients build world-class organizations . We serve the entire sports, media, and entertainment ecosystem, including teams, leagues and properties, federations and associations, financial institutions, esports, video games, media and digital, technology, and music.

The department assistant's role is to coordinate the daily affairs of the team's administrative needs in planning, scheduling meetings, organization of documents and team communication. The role is designed to streamline processes and lead on all administrative work in order to allow executives to focus on their core responsibilities. Assistants are an important part of the CAA structure, and it is hoped that the successful candidate will ultimately grow within the team.

Key Responsibilities
• The coordination and booking of all meetings for the team
• Generating all paperwork - weekly reports, pitch decks, proposals, interview notes, reference checks in a timely and accurate fashion
• Coordinate with Legal on the generation of all new contracts
• Take detailed notes from briefing calls in order to develop detailed and accurate job specifications
• Lead on the scheduling of all business development trips, including meeting scheduling, organizing travel arrangements, visa's, etc.
• Liaise with clients in order to schedule all candidate interviews
• Generating monthly financial reports and ensuring these documents stay up to date.
• Liaison with finance department to ensure that all invoices are accurate and sent on time.
• Generate all monthly expense reports

Knowledge, Skills and Abilities Required
• Ability to communicate effectively, both orally and in writing.
• Understanding of how to prioritize and juggle multiple projects at the same time
• Ability to work across to time-zone and cultures effectively
• Exceptional attention to detail and an ability to work efficiently under pressure
• Highly IT literate, with an ability to generate excellent presentations
• A self-motivated individual able to work independently and occasionally unusual hours
• Excellent telephone manner, with an ability to interact with individuals at a very senior level
• Highly numerate with strong project management and problem solving skills
• Skill in budget preparation and fiscal management
• Knowledge of travel/lodging planning and scheduling
• A desire to work hard and take on increasing levels of responsibility
• Organizing and coordinating skills
• Additional language skills would be beneficial
