Payroll and HR Coordinator - Temp To Perm Potential

Position:

We’ve created an exciting opportunity for a passionate and savvy HR professional to join eOne and apply your expertise in the role of HR and Payroll Coordinator. Supporting a recognized and trusted industry HR team, you will deliver HR and Payroll services with a deep focus on the payroll function to assure accuracy, timely completion, and compliance. As an HR and Payroll Coordinator your responsibilities will also include; assisting with administrative and accounting tasks, benefits, compliance, and working closely with our HR Information System (UltiPro). As someone who is committed to excellence, you will manage a varied workload, and understand all different aspects of HR during the employee lifecycle that exists within our dynamic work environment.

Responsibilities to include, but not limited to:

Payroll Administration
• Ensure US payroll is processed accurately to comply with divisional, corporate and government policies and procedures
• Coordinate with HR on employee deduction changes for each payroll
• Communicate and manage employee inquiries related to direct deposit, paycheck calculation questions, variances
• Liaise with supervisors to identify discrepancies regarding authorized overtime, shift differentials
or reasons for absences either paid or unpaid
• Assist with preparation of government reports and inquiries
• Receive and process child support deductions, garnishments and levies
• Perform payroll bank account reconciliations and liaise with finance teams to resolve discrepancies
• Support the department to provide records and reports during all internal and external audit procedures
• Biweekly maintenance of Payroll Summary worksheet with gross payroll totals, 401K info
• PayFlex (HSA) file creation and upload to vendor site online on a biweekly basis
• Review and track down documentation for bereavement and leave of absence
• Assist with monthly finance reports (i.e. monthly headcounts, vacation accruals, etc.) and wire preparation

Benefits
• Completes monthly benefit and payroll invoice processing and reconciliation
• Prepare submission and deposit reports for benefit account funding
• Review and track down documentation for benefits changes
• Assist with performing audits for worker’s comp, benefits, and taxes as needed
• Report on status changes, benefit deductions, terminations, etc.
• Respond to employee enquires across the US

General
• Point of contact for all HR queries, including coordinating administrative tasks with HR Specialists in Toronto and International
• Administer HR-related documentation, such as contracts of employment, new starter packs and welcome emails
• Ensure the relevant HR database is up to date and accurate
• Drafting of ad hoc correspondence as requested, for example reference and leaver letters
• Assist HR Advisor with project work involving scheduling and follow-up information to teams
• Arrange and book training courses
• Raising purchase orders and invoices for all global territories
• Assist in employee engagement events, training and interview scheduling when needed

Qualifications:
• Minimum of 3 years of HR and payroll processing experience
• Previous experience using UltiPro (HRIS) is preferred
• Undergraduate degree in a similar or related field and an HR degree or post-grad certificate is an asset
• APA, CPP, or equivalent certification preferred

Desired Skills:
• Demonstrable HR experience in a similar role
• Good knowledge of HR processes for the employee life cycle
• Experience using HR Information Systems (preferably UltiPro)
• Confident using Microsoft packages such as Word and Excel
• High level of attention to detail, and the ability to handle, interpret data and information
• Proactive, positive and self-motivated with a passion for HR and people
• Resilient and able to work well in a demanding and diverse environment
• Flexible, collaborative and able to work as part of an International team
• Experience with multi-state, multi-company payroll processing particularly in California
• High level of discretion with ability to maintain confidentiality requirements
• Experience with vendor change implementations a plus
