Operations Assistant (part-time, 22 hours)

Universal Pictures International (UPI) is the International Distribution and Marketing division for Universal Pictures. In the United Kingdom, Austria, Spain, Italy, Germany, Switzerland, the Netherlands, France, Korea, Hong Kong, Australia, New Zealand, Mexico and China, UPI directly markets and distributes movies through its local offices, creating campaigns and release strategies that respond to the culture and market behaviour of those territories. In other parts of the world, UPI partners with Paramount and Sony in the distribution of all three companies' films. Job Description

An exciting & unique opportunity to join the Theatrical operations Department within Universal Pictures International. A technically minded and creative department that coordinates Theatrical distribution to our International territories, localising each digital print to territories requirements.

The Operations Assistant will work alongside the Senior Operations Analyst, with our vendors, International territories and occasionally our LA Teams, delivering assistance and support for the Theatrical Operations accounting and unique digital prints from Universal's extensive back catalogue of titles and supplying support to ensure Universal's legacy.

This will be a part-time role of 22 hours, there will be some flexibility with your working pattern.

Responsibilities to include, but not limited to:
• Supporting the team in managing budgets by raising purchase orders, recording costs and dealing with billing queries
• Maintain consistency with payments, including contacting vendors for invoices not received
• Communication with vendors regarding accounting queries and reconciling accounts
• Manage new vendor set up for our in house PO system
• Review coding used for accounting details, updating where necessary
• Review and locate Archived DCP's (Digital Cinema Packages – Feature Film) and arranging delivery
• Maintain reports of Archived DCP's held at vendors
• Liaise with direct report to request Audio & other elements used for DCP creation
• Liaise with vendors on the physical storage held
• Maintain up to date report of titles held and the Distribution Rights status
• Organise shipments to LA of archived assets, where required
• Search for assets where required
• Adhoc reporting for archived assets, Physical and Digital
• Manage digitizing records for past titles
• Assist with on going Projects for Digital and Physical Archive

• Administrative experience in an office setting
• Experience in analysing data
• Passion for Film
• Organised and high degree of initiative
• Flexible and able to adapt to changing processes and business demands
• Excellent verbal and written skills
• Proficient knowledge of Microsoft Office, including Powerpoint & Excel
• Ability to communicate with both internal and external contacts in a professional way
• Attention to detail

Desirable:
• Experience with or an interest in archiving, physical and / or digital
• Knowledge of SAP accounting system and Smartsheet – desirable but not essential
• ​​​​​​​Experience with invoicing payment processes
