Job Description

Universal Music Group is looking for an Administrative Assistant who has superior attention to detail, great organizational skills, the ability to meet tight deadlines and juggle multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior professionals inside and outside the company is important. Must be very efficient and highly attuned to the smallest of details, as well as being able to multi-task and work on tight deadlines in a high-pressure environment is crucial. A ''can-do'' attitude is essential.

How you'll CREATE:
• Provide administrative and operational support to EVP and the department
• Arrange meetings and conference calls via telephone and email
• Manage complex and fluctuating schedules, including scheduling meetings, coordinating calls – both domestic and international, prioritizing calendars and follow up
• Coordinate and book complex and frequent travel, accommodations, & car services; prepare itineraries
• Coordinate and prioritize incoming verbal and email requests
• Maintain a strong working knowledge of employees, and important external contacts
• Exercise discretion when patching calls, rolling calls, and interrupting meetings
• Regular meeting prep, coordination, and notes
• Assist with organizing events, create newsletter/announcements, managing project deadlines, including keeping organized status reports
• Assist with company's CSR program, including the Universal Music All Together Now Foundation
• Track press releases, coordinate announcement scheduling and compile press clipping reports
• Create and send grammatically/punctually correct internal/external company communication
• Monthly expenses, reconciliation, and processing such as travel & entertainment expenses
• Manage and oversee department quarterly budgets including processing invoices and vendor set up
• Additional duties as assigned

How you'll VIBE:
• Bachelor's Degree preferred
• Minimum 1 year of experience as an Administrative Assistant, and/or previous intern experience at PR agencies, in-house communications departments or media outlets
• Minimum 1 year of experience booking travel, calendar management
• Knowledge and interest in public relations, communications, press/media outlets, and music industry
• Extreme discretion with sensitive information
• Ability to interact comfortably and effectively with employees of the company at all levels including Senior Management and senior-level clients
• Ability to interact comfortably and effectively with external partners and clients
• High attention to detail, excellent follow-through, problem-solving and organizational skills
• Self-motivated, proactive, and resourceful
• Excellent follow-through and attention to detail
• Flexible – able to adjust to changing priorities, and able to multi-task
• Excellent customer service skills
• Excellent organization and time management skills
• Excellent written and verbal communication
• Strong proficiency and working knowledge of Microsoft Office Products
