Job Description
As an Executive Assistant at Ubisoft, you will play a key role in supporting our leadership and managing day-to-day operations. We're looking for someone with strong business instincts and a high degree of initiative to support the Managing Director directly. This role focuses not only on day-to-day support, but also on helping the MD stay connected to the studio, prepare for high-level decisions, and drive strategic initiatives forward.
You will be instrumental in gathering and curating information, shaping communications, and identifying areas where leadership support is most needed. You'll work across departments, helping ensure the Managing Director is informed, prepared, and able to act on the most pressing studio needs.
What You'll Do
• Collaborate closely with the Managing Director to drive business priorities, elevate key issues, and support decision-making.
• Gather and synthesize updates from teams and stakeholders, helping to identify risks, resource needs, or areas requiring leadership attention.
• Prepare clear and compelling presentation materials, speaking points, and internal communications for executive audiences, including Ubisoft HQ.
• Monitor ongoing studio initiatives, track action items from leadership meetings, and ensure alignment on key objectives.
• Support and help facilitate annual and quarterly planning activities, business reviews, and internal leadership updates.
• Provide strategic input and help shape studio-wide communication by acting as a filter and thought partner for important messaging.
• Manage logistics for high-priority meetings, including scheduling, prep, and follow-ups to ensure meaningful outcomes.
• Occasionally support administrative tasks where necessary, with the focus remaining on enabling effective leadership and communication.
Qualifications
What You Bring to the Team
• Approximately 5 years of experience in a similar role or in relevant administrative functions.
• Proven ability to support senior executives with a mix of strategic planning, operational insight, and communication support.
• Strong business acumen and comfort working with confidential information, performance metrics, and cross-functional initiatives.
• Strong experience with Outlook, the Office Suite (especially PowerPoint), OneDrive, and SharePoint.
• Outstanding written and verbal communication skills, with experience preparing presentations and materials for senior audiences.
• Organization and Time Management: Ability to prioritize and manage multiple tasks and projects.
• Adaptability: Flexibility to adapt to changes, new priorities, and unforeseen situations.
• Initiative: Proactive approach by anticipating needs, taking initiatives to improve processes, and supporting team objectives.
• Collaboration: Ability to work harmoniously with colleagues and partners.
• Discretion: Skill in handling confidential information professionally.
• Experience in the video game, entertainment, or tech industry is a strong asset.
