The Receptionist serves as the first point of contact for our media station, providing a professional and welcoming environment for all visitors, callers, and employees. This role manages front desk operations, handles a high volume of calls, greets guests, and performs a range of administrative duties to support smooth daily workflow in a fast-paced media environment. This is a part-time, temporary position.
Responsibilities:
• Greet and welcome visitors, guests and clients warmly and professionally.
• Answer, screen, and route incoming phone calls using a multi-line phone system.
• Manage visitor check-ins and maintain security protocols for guests entering the premises.
• Listen and transcribe viewer comments, concerns and feedback and route to appropriate individuals. Guide viewers through navigation to find desired content on various KTVB platforms.
• Provide information and answer general questions about programming, reception and upcoming events.
• Handle incoming and outgoing mail, packages, and deliveries efficiently.
• Maintain a clean, organized, and well-stocked reception area.
• Perform general clerical duties, including data entry, filing and photocopying.
• Support internal communication and assist with event coordination as needed.
• Assist with light administrative tasks for various departments when required.
• Gather information on community events and contribute to community event tracker.
Requirements:
• Experience as a receptionist or in a similar administrative role preferred.
• Excellent verbal and written communication skills.
• Strong organizational skills with attention to detail.
• Proficiency with office software (MS Office Suite) and phone systems.
• Ability to multitask and manage time effectively in a dynamic environment.
• Professional appearance and demeanor, with a customer-service-oriented attitude.
• High school diploma or equivalent; additional education or training in office management is a plus.
Preferred Attributes:
• Familiarity with media/broadcasting industry terminology and workflow is advantageous.
• Ability to handle confidential information with discretion.
• Friendly and approachable personality to represent the media station positively.
