The Sr. Coordinator, Special Events in the Events Department at Sony Pictures plays an important role in planning and executing on-lot events. This position involves working closely with the Special Event Manager and VP Studio Services to execute internal and external events, maintain department efficiency, and oversee venue maintenance and repairs.
Responsibilities
• Oversee the planning, coordinating, and executing a wide range of internal and external events.
• Conduct site visits with internal and external clients.
• Prepare budgets, generate event layouts, initiate rental orders, and prepare license agreements.
• Work with Legal and Risk Management on license and insurance negotiations.
• Coordinate work schedules with various vendors and trades, including weekend staffing as required.
• Manage on-site event logistics with various vendors, Wolfgang Puck Catering, and on-lot support staff including Security, Parking, Audio Visual Services, Janitorial and Grounds, Relocation Services, Electric, etc. Including night and weekend work.
• Select and negotiate contracts with various vendors, including rentals, entertainment, and décor.
• Work closely with the facilities team, backlot trades, and catering to maintain venue standards.
• Manage all maintenance and repairs of venues, furniture, décor, etc.
• Ensure venues are up to standard with all necessary features and safety requirements.
• Manage event furniture and signage inventories
• Assist in the planning and execution of special projects and department initiatives.
• Maintain event files ensuring all pertinent documents are signed and correct.
Qualifications
• 1+ years of special events experience
• 2+ years of experience in the entertainment industry
• Bachelor's degree preferred
Knowledge of:
• Working knowledge of lot venues
• Managing teams to ensure successful event delivery.
• On-lot trades and their functions within the studio, especially for event coordination
• The studio lot and venue spaces and the intricacies of operating events at a movie studio.
• File management, calendar organization, and standard procedures for department efficiency.
• Studio hierarchy and internal stakeholders; how to navigate interfacing with various clientele.
• Emergency problem-solving solutions.

The anticipated base salary for this position is $60,000-$75,000. This role may also qualify for annual incentive and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
