Personal Assistant PA & Office Co-ordinator

PA / Office Co-ordinator
Overview:

Sony Pictures Television International Studios is a new UK production arm, based in Manchester, overseeing scripted productions. The team is looking for a PA / Office Co-ordinator for an initial 12 month fixed term period to provide support and assistance to the senior management team and to oversee the day to day running of the office.

Key PA responsibilities:
• Diary and travel management, including setting up conference and video conferencing calls (across several time zones), as well as internal and external meetings for the Senior Vice President of Scripted Production and Head of International Production
• Handling sensitive and confidential information with the highest level of discretion and confidentiality
• Logging and processing expenses
• Attending important meetings if required for notetaking

Key office responsibilities:
• Liaise with building management
• IT assistance
• Meeting and greeting visitors at all levels of seniority
• Screening telephone calls, enquiries, and requests, and handling them when appropriate
• Dealing with incoming email and post requirements
• Working alongside and training the Sony intern
• General office duties to oversee stationery, deliveries etc
• Keep team across internal Sony Pictures communications and updates
• Co-ordinate internal functions & events / strategy days and social events
• Setting up vendors, raising and tracking purchase order numbers
• Provide back of house support, including keeping kitchen stocked

Production support:
• Assist in crew availability checks (key creatives/HODs etc)
• Create early-stage crew contact list
• Help manage the slate for the year, mapping out key production dates and ensuring efficient production planning
• Set up production kick off meetings. Provide production team with Sony production pack and documentation
• Coordinate the timely wrap up on productions
• Supports the production department with all aspects of administration as pertain to the planning, production and delivery of the slate

Requirements:
• Typically a minimum of 2 years' experience in a PA / Office Co-ordinator role
• A can-do positive attitude and a willingness to do what is needed to support the wider team
• Self-motivation and ability to work autonomously
• We are working in multiple time zones, and this may require some out of hours work
• Professional, discreet and confidential
• Advanced knowledge of Outlook, Word & Excel
• Ability to prioritise and juggle multiple tasks and deadlines
• Strong interest in television and film
• Excellent administration and organizational skills
• Can do attitude and flexibility and goes the extra mile
