Based in SPT's Hong Kong Office, this role will report to Director, Financial Planning & Analysis and play a supportive role within the regional Finance team on general office administration tasks. This role will also occasionally support the planning, forecasting and reporting cycle of business budget preparation across the region.
Please note that this role is based in Hong Kong. In order to enable us to meet the statutory and regulatory obligations of the Hong Kong immigration system you must have the appropriate immigration permission needed to work and reside in Hong Kong for the duration of the employment.
Responsibilities:
• Provide daily office administration coordination and support in all aspects to maintain and enhance the smooth functioning of the office;
• Provide business-related assistance to executives including business trip arrangement, itinerary preparation, bookings, expense claims preparation, meetings organization, etc.;
• Maintaining day-to-day workplace operations including liaising with building management for maintenance and repair, managing office supplies replenishment, handling courier arrangements and office mail organization, document storage etc.;
• Upkeep office environment to ensure a clean and safe workplace and manage one tea/cleaning lady;
• Representing Sony HK office to manage external vendors, including but not limited to the travel agency, office supplies vendors, property management, handling related vendor setup, purchase orders and invoicing.
• Serving as an active coordinator with internal stakeholders across functions to organize local office events, such as annual lunch/dinner gatherings and critical business meetings held in Hong Kong, especially when visited by senior executives from the Home Office or Regional Office.
• Occasionally support the Finance team on the forecasting and reporting process including but not limited to data entry, system uploads and reconciliation etc.
• Assist in ad hoc assignments as required
Requirements:
• Diploma or relevant secretary certificate
• Typically 3-5 years of relevant experience in providing broad-based secretarial / administration support/ accounts payable, exposure to finance function is preferred.
• Good communication skills in written English and verbal Cantonese.
• Experience in Microsoft Suites e.g. Outlook, PowerPoint, and Excel.
• Exposure and experience with enterprise-level business application systems (e.g. Ariba) is preferred.
• Excellent organizational skills, good at prioritization and ability to manage multiple tasks simultaneously.
• Good interpersonal skills, problem-solving, and being a self-starter under minimum supervision.
• Proven ability to perform independently and proactively and also a collaborative team member.
• Superior attention to detail and accuracy.
