Coordinator, Global Marketing Operations
Reporting to the SVP of Global Marketing Clearances & Censorship, the Coordinator of Global Marketing Operations will play a key in role supporting two Global SVP's, four Global VP's and their busy teams. They will work closely with internal groups including Global Marketing Operations, Production/Post-Production, Creative Marketing, Marketing Post-Production, Legal, Distribution, and SPHE Marketing & Distribution. The coordinator will also need to maintain strong relationships with external partners including the Motion Picture Association, the guilds (DGA, WGA, etc.), various production offices, marketing operations vendors, etc.
The ideal candidate will be proactive in their approach, possess excellent judgment in a variety of situations, demonstrate excellent written/verbal communication skills, have a critical attention to detail, embody an energetic and positive demeanor, and demonstrate an ability to balance multiple priorities and work well in a fast-paced team environment. The candidate must also be able to maintain a high level of confidentiality regarding sensitive material.
Global Censorship – 40%
• Work with Senior Vice President of Global Clearances and Censorship on managing the scheduling and tracking of all MPA feature submissions.
• Coordinate the MPAA submission paperwork for feature ratings.
• Includes reaching out to finance, post-production and business affairs to obtain proper information for paperwork.
• Coordinate the payment of invoices received from the MPA regarding the submission of our feature films.
• Coordinate creation of new titles in InterPlan as they are rated by the MPA.
• Maintain associated Metadata for titles in InterPlan.
• Ensure that InterPlan has updated ratings information once MPA ratings are posted each week, as well as maintain tentative ratings for upcoming Sony Pictures titles.
• Coordinate the tracking down and receipt of Pre-Production Scripts.
• Route Ratings Analysis of Pre-Production Scripts to Production Executives.
• Provide Global Censor Comparison Reports as needed for SVP of department.
• Provide Rating Descriptor Analysis as needed for SVP of department.
• Provide Global Censorship Information to SPHE International Creative Services team as needed.
• Train with the Manager of Global Clearances and Censorship as a backup when they are on vacation.
Global Clearances – 35%
• Provide internal customer support to those seeking materials and information from the Marketing Clearances Dept. (MPG, SPHE, SPTV, SPWA, etc.).
• Maintain Master Files for Dept. and coordinate the retirement of Master Files; prepare and maintain index to Master Files.
• This includes moving files over to a digital filing system in SharePoint Site.
• Interact with the Global Marketing & Distribution groups, the guilds and outside vendors establishing positive working relationships with both internal and external clients.
• At direction of the clearances team, submit and traffic materials to necessary Guilds, Legal Department, Music Department, etc.
• Maintain approval/disapproval files of all materials submitted to Guilds, MPA, Legal Departments, Script Clearances, etc.
• At direction of the clearances team, distribute art and billing to Lines of Business and to third parties. Maintain accurate records as to items distributed and date of distribution so that parties can be notified of revisions.
• Coordinate with the Worldwide Marketing groups, Finance, and 3rd party vendors in the handling/processing of invoices involving stock photo/footage licensing and A/V billing/end cards including the creation of POs for footage used.
• Coordinate the licensing of stock photos and stock footage for the clearances team.
• Coordinate the tracking of music licensed for use in advertising campaigns for the clearances team.
• Other responsibilities and tasks that may be assigned by the clearances team.
General Department Responsibilities – 25%
• Provide general administrative support for the executives of the department (Including two SVP's and four VP's)
• Ordering Supplies, Calendars, Expense Reports, Booking Travel
• Coordinate the Weekly Global Creative POD Update Meetings including agenda emails and meeting notes.
• Send out Weekly Reports
• SPE Film Status – Tracks all films announced and follows them through our production pipeline all the way to release.
• Feature Ratings Update – Tracks all films that are in the ratings pipeline.
• Handle all PO creation & submission for Global Marketing Operations department in SAP and/or Spent & Committed.
• Includes verification of charges and the allocations to proper films.
• Handle the Pro-Card paperwork & reconciliation for the department.
• Maintain digital filing system.
• Maintain department SharePoint Site.
• Provide Theatrical Title Localization report to SPHE International Creative Services and Global Clearances teams as needed.
• Track down theatrical title localization from Global Brand Team and SPRI Team
Requirements
• Education: This position normally requires a BA or BS.
• Years of Experience: 1 to 3 years of experience.
• Theatrical Entertainment Landscape as well as its respective Marketing Landscape.
• Knowledge of Censorship and Theatrical Marketing Clearances is a plus.
• Operations or data management experience.
• Experience in managing high volume workflows to meet critical deadlines.
• Ability to quickly learn new bespoke systems.
• Daily use of proprietary internal systems will be required: InterPlan, Prism, Media-Qurator
• Microsoft Office Suite (intermediate level of use): Word, Excel, PowerPoint, Outlook
• Strong communication, problem-solving and time management skills.
• Multitasking and attention to detail
• Teamwork mindset is a must.
• Ability to remain calm in the midst of chaos.
• Manage large volumes of data, apply logic and consider a variety of outcomes, work well under competing priorities and timelines and provide exceptional client service.
