Job Description
We are looking for an Administrative Assistant V to provide a full range of administrative support for the EVP, Creative Development & Production including handling phones, calendar, filing, drafting, meeting coordination, travel arrangements and expense reports in a high-pressure/busy office.
Responsibilities
• Help facilitate communication between the EVP, Creative Development & Production's office and other internal and external parties, demonstrating leadership, trust and support with senior management team
• Ideally, generally familiar with the many facets of feature filmmaking – i.e., development, physical production, post-production, and business/legal affairs.
• Act as key contact to all executives, filmmakers, and talent representatives on all projects
• Responsible for calendar management and heavy meeting planning involving frequent changes
• Handle day-to-day telephone communication including rolling high-volume calls with leader, redirecting calls to appropriate departments and relaying timely messages
• Handle complex travel arrangements including upkeep of frequent flier accounts, car service, flights, and hotels, mostly utilizing online resources and anticipating frequent changes. Make restaurant reservations, and create and provide detailed directions for all travel as needed
• Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
• Provide administrative support to the department, as needed, including department group requests for building services, conference rooms, catering, telephone service, hardware and software purchases, ordering office supplies, and new Executive onboarding, etc.
Qualifications
• At least 5 years experience as an administrative assistant
• Strong typing and computer skills (MS Office); comfortable taking dictation
• Exceptional organizational and interpersonal skills
• Must be willing to work long hours, including early mornings, nights, and weekends as needed
• Must be detail-oriented and capable of handling confidential matters with absolute discretion.
• Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner
• Must be flexible – an ability to work well in an environment where needs and priorities are subject to much revision
• Excellent communication skills – written and oral (must have a professional and courteous demeanor)
The anticipated base salary for this position is $67,500 to $109,600. This role may also qualify for annual incentive and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
