As the Coordinator, Intellectual Property Licensing, you will play a vital role in supporting the administrative and project needs of the IP Licensing Department. You'll work closely with both internal teams and external stakeholders, assisting in the clearance, licensing, and royalty processes for a wide range of products.
What you'll do:
• Monitor internal label product release schedules and initiate clearance work as needed.
• Gather product information such as label copy and video cue sheets from various departments.
• Obtain and verify songwriter and publisher ownership splits for songs.
• Manage writer administration changes by coordinating with publishers and securing all necessary details.
• Research and confirm writer credits for assigned projects.
• Provide regular project clearance and licensing status updates to team leads and project analysts.
• Maintain royalty accounts, including setting up new accounts, collecting W-9 forms, and working with accounts payable on vendor maintenance.
• Update payment statuses for songwriters, publishers, and products as needed.
• Calculate basic copyright royalty rates.
• Assist with administrative tasks related to video broadcast and synchronization rights clearance.
• Support the negotiation process for reduced copyright royalty rates.
• Process copyright licenses for physical, digital, and mobile products, including requesting, reviewing, and executing licenses.
• Monitor and maintain bulk licensing processes.
• Respond to publisher inquiries about ownership splits and licensing status.
• Generate and distribute reports as required.
• Register new recordings and products with the US Copyright Office, ensuring accurate tracking and archiving of completed registrations.
• Assist with special projects as needed.
Who you are:
• Minimum of 1 year of experience in copyright administration.
• Excellent written and verbal communication skills, with the ability to communicate effectively with both internal and external stakeholders.
• Strong organizational skills, with a high level of attention to detail and the ability to manage multiple tasks simultaneously.
• Proficiency in Microsoft Word and Excel.
• Ability to work well under pressure and meet deadlines in a fast-paced environment.
• A general understanding of the music industry is required.

The anticipated annual base salary does not include any other compensation components or other benefits that an individual may be eligible for. The actual base salary offered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
