Payroll Director

Reporting to the VP, Controller the Payroll Director will oversee payroll for all Sesame Workshop full-time, part-time and production employees across various payroll processes and systems as well as manage the Workshop's 401k and 457b plans. This position will work closely with the Finance and Human Resource departments to identify ways to streamline and automate processes including employee onboarding and offboarding, managing employee benefit and tax withholding, tracking time and PTO, tracking payroll expenses.

Responsibilities:
• Supervise a team of two Payroll direct reports and their payroll-related responsibilities, including payroll processing for fulltime staff, variable hour employees (VHE) and union and non-union staff all within ADP Workforce Now and Cast and Crew systems. Manage the ADP employee database and ADP Time & Attendance system for all employees; involves troubleshooting, creating training documents and training new users, running reports, downloading pay data from the system, and processing all entries
• Manage the 401K / 457b plan processes, including employee contribution submissions, reporting, annual true-up calculations, compliance testing, and annual audit
• Reconcile IRS form 941 with ADP Statement of Deposit
• Reconcile actual salary expense per ADP/GL to quarterly forecasts
• Track unclaimed / stale-dated payroll checks for proper state reporting
• Process employee status changes: review information provided by HR and perform accurate data entry
• Create and maintain process documentation/instructions for all payroll related processes
• Utilize ADP Custom Reporting to run monthly reports and create ad hoc reports for various departments; requires knowledge of the system to locate desired fields and apply filters to reports
• Perform general ledger reconciliations for payroll withholding accounts
• Provide a high level of customer service, driven by outstanding communication and interpersonal skills, by assisting employees with payroll-related issues (direct deposit, PTO policy, password resets, payroll deadlines, time & attendance, tax withholding forms, report requests, etc.)
• Frequent follow-up with departments to obtain supporting documentation (e.g. contracts/Authority for Payment forms/timecard approvals) to pay employees in a timely manner
• Become the primary contact and liaison for payroll and 401k plan providers
• Supervise year-end processes (W-2 distribution, payroll adjustments, etc.)
• Filing and other payroll duties as necessary or assigned
• Assist with Accounts Payable and other disbursement tasks when needed

Qualifications:
• Bachelor's Degree in Accounting, Finance, or equivalent work experience
• 6-8 years of payroll experience, with 3 years or more in a management capacity
• Working knowledge of payroll tax and 401k compliance requirements
• Excellent communication skills both written and oral
• Proficient in Excel (Pivot Tables, LOOKUP formulas, etc.)
• Expert knowledge Payroll software (preferably ADP Workforce Now and Cast and Crew)
• Experience with Accounts Payable a plus
• Experience with NetSuite and/or Concur a plus
