Your Impact
The Specialist, HR Operations & Compliance will support core HR operational functions with a strong emphasis on regulatory compliance and data integrity within the Oracle Human Capital Management (HCM) system for the Hearst Magazines division. Reporting to the Senior Manager of HR Operations, this role will contribute to the accurate execution of compliance-related processes and support the employee lifecycle, ensuring a positive employee experience through meticulous operational execution. The Specialist will communicate directly with employees and HR, and collaborate with various departments including Payroll, Finance, Legal, Tech Services, and centralized HCM Operations to uphold data integrity and compliance standards.
Resonsibilities:
What You'll Do:
• HR Compliance & Reporting
• Support the preparation and submission of required compliance and annual filings, including but not limited to the Affirmative Action Plan, California Pay, EEO-1, and VETS-4212, through data analysis, validation, auditing, and reporting.
• Collaborate cross-functionally to help track AAP goals and assist with compliance efforts.
• Assist in documenting and maintaining standard operating procedures related to compliance initiatives.
• Generate and fulfill ad hoc and recurring HR data and reporting requests to support compliance audits and business needs.
• Provide support on departmental initiatives and projects, as required.
• In collaboration with our staffing agencies, assist with adherence to employment guidelines for our temporary workforce, including onboarding, hours auditing, offboarding,
• Maintain administrative requirements related to our union population, including record keeping, payroll deductions, system updates, and compliance reporting.
• Employee Lifecycle Administration
• Monitor and support compliance efforts with federal, state, and local wage, hour, and employment laws.
• Support the full employee lifecycle, including onboarding, performance management, merit, training, and offboarding.
• Respond to payroll-related inquiries; review time entries, troubleshoot discrepancies, and collaborate with Payroll and department managers to ensure accurate processing.
• Complete and submit required payroll documentation, such as salary status changes and employment updates.
• Contribute to ongoing improvements in HR workflows and compliance processes.
Qualifications:
Who You Are:
• 2+ years of experience in HR operations, data analysis and compliance
• Familiarity with federal and state employment laws, HR compliance reporting, and payroll best practices
• Experience with federal reporting and associated requirements, including AAP, California Pay, VETS-4212, EEO-1, and others a plus
• Ability to handle sensitive information with confidentiality and professionalism
• High attention to detail with strong organizational and data management skills
• Enjoys a fast-moving, ever changing, deadline-driven environment
The base salary for this role is between $88,000-$100,000. The actual base pay offered is dependent upon many factors, such as: transferable skills, work experience, business needs and market demands. The base pay range is subject to change and may be modified in the future.
This position is based in the NYC office 3 days a week. No remote option.
