Executive Assistant to the Chief Programming Executive & General Manager, GA Programming
Department: GA Programming
Status: Full-time/Regular/Non-Exempt
Supervisor: Chief Programming Executive & General Manager, GA Programming
Position Overview:
The Executive Assistant is responsible for the day-to-day administrative activities of the Chief Programming Executive & GM, GA Programming and other senior leaders as needed.
Key responsibilities will include, but are not limited to:
• Manage the day-to-day operations for the Chief Programming Executive and GM, GA Programming including calendar scheduling, meeting note-taking, email maintenance, handling phone calls and other requests.
• Manage their daily schedules, proactively providing materials and reminders as well as navigating scheduling conflicts as they arise.
• Responsible for all travel arrangements for Chief Programming Executive & GM, GA Programming.
• Responsible for submission and tracking of all expense reports for Chief Programming Executive & GM, GA Programming.
• Coordinate meeting preparation (including catering when necessary), material preparation, and related activities.
• Provide administrative support, including but not limited to, drafting correspondence, updating/maintaining spreadsheets, and creating/modifying/maintaining documents.
• Provide scheduling and administrative support for additional members of senior Programming team as needed.
• Provide backup and overflow support for Administrative Coordinators in Programming.
Requirements for success:
• 5-6 years of administrative experience required, in a media or arts environment preferred.
• Bachelor's degree or equivalent combination of education and experience
• Excellent organizational skills with the ability to prioritize and juggle a heavy workload independently.
• Ability to traffic and attend to confidential information with discretion.
• A team player with excellent interpersonal skills, including outstanding phone skills and written communication.
• Strong judgment with effective written communication skills, including superior editing, proofing, and proficiency with grammar.
• Highly proficient in capturing, synthesizing, and disseminating notes taken during meetings.
• Ability to manage daily office operations and the ability to maintain the calendar, schedule meetings, and coordinate travel plans independently.
• Ability to manage diverse and competing priorities comfortably and confidently.
• Extreme attention to detail and resourcefulness.
• Mastery of Microsoft Office, including Microsoft Word, Excel and the preparation of PowerPoint presentations for internal and external use.
• Familiarity with and interest in public television system and/or media environment.
• Must have received or be willing to receive the COVID-19 vaccination by date of hire to be considered. Proof of vaccination required.
