Job Description
OVERVIEW

This is a dual role, providing high quality, confidential and efficient PA support to the VP, HR Universal International Studios & Production as well as Team Assistant duties to enable the HR teams to deliver first-class employee administration, operational and engagement activity support.

KEY RESPONSIBILITIES

PA:
• Extensive diary management: organising and scheduling meetings, providing availability and proactively planning ahead to pre-empt and avoid conflicts.
• Prioritise and manage the volume of meetings and requests for attendance, ensuring VP HR is aware of any preparation required in advance.
• Minute taking / preparation & distribution of meeting agendas for regular HR meetings.
• Create and build presentation materials for the VP HR & wider HR team.
• Building and maintaining strong communication networks with other PA/EAs and across the International HR Community & US studios.
• Maintaining shared drives and team administration.
• Finance management: raising POs & processing confidential invoices.
• Processing expenses for the VP HR.
• Scheduling & booking travel as required by VP HR & HR Directors.
• Supporting with team lifecycle events for the HR team: anniversaries, birthdays, arranging cards / gifts etc.
• Purchasing and managing.
• Other ad hoc requests: booking couriers, coordinating IT equipment requests, preparing presentations & meeting documentation and assisting with travel arrangements for the VP and the HR team.

Team Assistant:
• Assist the HR Director UIS on employee projects as required.
• Assist in any program rollouts across Production & International Studio.
• As required, assist the HR directors in scheduling meetings that require global attendance.
• Support administrative duties on employee engagement activities, such as; recognition events, summer social gatherings and information sessions & presentation.
• Liaising with International IT & facilities teams to ensure smooth running of events & team equipment.
• Assist with the onboarding of new team members and contractors to the team.
• Partnering with the UIS communications teams to ensure events are marketed in line with UIS branding.
• Driving community discussions on the chat channel.
• Assisting the HR director on promoting events.
• Generate bi-weekly, monthly and ad hoc employee data reports on behalf of the HR Directors.
• Support employees to self-serve using appropriate HR systems or Benefits portal.

QUALIFICATIONS/ REQUIREMENTS:
• Excellent computer skills: strong knowledge of Office 365 (Outlook / Excel / Word / PowerPoint / Teams).
• Experience using an HR system desirable (i.e. SAP).
• Excellent organisational skills.
• Strong interpersonal skills.
• Strong written and verbal communication skills.
• Fluent in English.
