HR Coordinator, Corporate (12 month Fixed Term Contract)

Job Description

Role will start late Feb/March 2024
OVERVIEW

The HR Coordinator will deliver first-class employee administration, operational and systems support to employees within the Corporate Functions across International, in close collaboration with the VP HR, HR Director and HR Manager. This role is the first point of contact for all HR related queries and will be accountable for ensuring that all HR administration and enquiries are addressed in a professional, efficient, timely manner.

KEY RESPONSIBILITIES
• Create and maintain accurate employee records via SAP / myHR
• Create and maintain accurate employee folders with consistency in detail
• Prepare the system to post new roles, working closely with the Talent Acquisition team
• Prepare paperwork for employee lifecycle events e.g. promotions, transfers
• Process system changes for all employee lifecycle events, liaising with HR Operations as needed to ensure best practice
• Maintain and track probation periods, fixed-term contracts, LOAs, Flexible Working Requests and Visas
• Process all monthly payroll changes, working closely with the Payroll team
• Manage the employee onboarding process, including HR & Benefits Induction
• Manage the employee offboarding process, including IT equipment retrieval
• Generate bi-weekly, monthly and ad hoc employee data reports
• Manage the annual intern onboarding & offboarding process for the Corporate Functions, working closely with the Early Careers team
• Support with employee queries, liaising with HR Connection, HR Operations and Payroll to achieve resolution
• Maintain HR distribution lists, databases, shared drives & org charts
• Prepare & distribute meeting agendas for regular HR meetings
• Support with note taking for regular HR meetings / investigation meetings
• Raise POs & process confidential HR invoices
• Plan and organise events for the International HR Community

Qualifications

SKILLS AND EXPERIENCE:
• A methodical, accurate and organised approach, with excellent attention to detail
• A calm and professional manner
• A proactive and flexible attitude
• Proven ability to prioritise, multitask and meet deadlines in a busy, ever-changing environment
• Experience of working with HR systems and processes
• Ability to manage your time effectively and work autonomously with limited need for guidance and supervision
• A willingness to learn, being solution orientated and curious with an appetite to continually review and improve processes
• The ability to remain discreet and professional and maintain confidentiality of information
• A strong customer service ethos - always putting the needs of the employee and manager first
• An understanding of the employee life cycle
• A solid working knowledge of HR practices and procedures, preferably within a large, matrix organization
• Experience of undertaking transactional HR administrative work, including data entry into HR systems and creating paperwork
• Excellent interpersonal and communication skills
• Excellent computer skills: strong knowledge of Office 365 (Outlook / Excel / Word / Powerpoint /Teams) and SAP
