Responsibilities
Role Purpose:
The Business Affairs Coordinator will provide support to the Sr. Director, Business Affairs Department at Universal Studio Group . This person will serve as office liaison in communicating with many internal/external studio and network executives and other divisions as well as with the external business community such as talent, talent/management agencies, law firms, third-party studios, etc.
Responsibilities:
• Provide telephone coverage, compose and review correspondence and communications, maintaining schedules and calendar, review production schedules, coordinating meetings/events
• Support in procuring, vetting, organizing and tracking all above-the-line talent payroll documentation for Payroll and Accounts Payable regarding payment requests issuance that includes but not limited to writers, directors, producers, actors, rights holders, co-productions, overall term deals, cash flows, reimbursements, and any other studio development spend
• Track talent agreements through full execution
• Assist in preparing WGA Notices of Tentative Writing Credit, faxes, letters, waivers and correspondence to Guilds and talent representatives
• Issue Minors' Court Approval documents
• Request Script Delivery Notices from creative executives
• Administer e-filing (ELF, DMS, shared drive) , scanning , and uploads and deal terms data entry in Sales Force
• Review script status reports and screen WGA credit arbitrations
• Perform other related duties as required by management
Qualifications/Requirements
Basic Qualifications:
• 2+ years of experience in an administrative role from any studio business or legal affairs division, law firm, talent agency, accounting firm or any of the major unions.
Eligibility Requirements:
• Must be willing to work in Universal City, California
• Willingness to work overtime and on weekends with short notice
Desired Characteristics
Desired Characteristics:
• Experience processing payroll documentation strongly preferred
• Familiarity with TV writer/director contracts as well as WGA/DGA or unions knowledge preferred but not required
• Knowledge of the usage of macros in Word and/or familiarity with applications such as SalesForce, Kissflow, DMS, ELF
• Detail oriented with excellent analytical and mathematical skills
• Proficiency in Microsoft Word, Excel, Outlook, Adobe Pro.
• Strong oral and written communication, time management and organizational skills
• Professional demeanor
• Experience working in a fast-paced and demanding environment
• Quick learner, smart, resourceful, energetic
• Team player
• Must be trustworthy with the ability to handle confidential information
