THE JOB

The Venue Operations Assistant is to assist with the excellent care of House of Blues, its infrastructure and appearance. From day-to-day maintenance, to coordinating contractors, compliance with health and safety regulations and conducting continuous improvement strategies, the role is to ensure our venue is presented at the highest standard.

This role serves as the primary administrative and operational support partner to the General Manager. The ideal candidate is highly organized, proactive, and enjoys balancing day-to-day administrative responsibilities with project-based work. This person will help keep the venue running efficiently while taking ownership of operational projects, process improvements, and cross-functional coordination.

WHAT THIS ROLE WILL DO

Administrative Support
• Provide direct administrative support to the General Manager.
• Manage Outlook calendars, scheduling, and meeting coordination.
• Process incoming mail and venue correspondence.
• Prepare and send emails and internal communications.

Communication & Stakeholder Management
• Serve as a point of contact for internal teams, accounting, talent representatives, guests, and external vendors.
• Draft professional written communications and effectively translate ideas into clear emails and documentation.
• Maintain strong relationships while balancing competing priorities across multiple departments.

Project & Operations Coordination
• Own and manage special projects assigned by the General Manager from start to finish.
• Research solutions, troubleshoot operational issues, and independently drive projects forward.
• Identify opportunities to improve operational processes and efficiencies.
• Support venue operations through process documentation and continuous improvement initiatives.
• Coordinate cross-functional communication across venue departments.
• Review and code invoices, expense reports, utility bills, and other operational expenses.
• Support accounts payable processes and maintain accurate documentation.

WHAT THIS PERSON WILL BRING

Required:
• Strong Microsoft Office skills, particularly Outlook.
• Comfortable learning and adopting new technology and software platforms.
• Interest in tools such as:
• Asana
• Airtable
• ChatGPT
• Claude
• Strong typing and computer proficiency.
• Experience with invoice coding or accounts payable processes is preferred.
• Be highly organized and proactive.
• Enjoy solving problems independently.
• Be comfortable managing multiple priorities simultaneously.
• Have excellent written and verbal communication skills.
