THE ROLE:
The Administrative Assistant will provides support to the General Manager, as well as other members of the leadership team. From calendar administration, meeting support, or assisting in cross-departmental task management, this role assists in a broad range of tasks and has front-row seats to learning about the business.
The ideal candidate for the role is inquisitive, hungry to learn, and loves all things organization and process management.
RESPONSIBILITIES:
• Anticipate executive needs and make sure all work materials are available for a successful workday
• Prepare agendas, take and distribute meeting notes, and provide direct support in managing follow-up on any action items. Maintain complex and detailed calendars, in support of multiple leaders.
• Support leadership with booking, coordinating and expensing travel, both domestic and international.
• Coordinate monthly, quarterly, annual, and ad hoc meetings, which requires interaction with both internal and external executives and assistants, and additional stakeholders as needed.
• Complete expense reports for multiple members of the leadership team
• Assist with the preparation of presentations and other materials, for internal and client facing meetings
• Handle sensitive information with discretion and empathy
• Support the Office Manager with administrative tasks such as, but not limited to:
• Greeting visitors, handling inquiries and directing to the appropriate departments
• Picking up, sorting and distributing mail to the appropriate departments
• Assisting with the delivery of staff snacks, meals, and other office events as needed.
• Other special projects and responsibilities, as required.
KNOWLEDGE, SKILLS & ABILITIES:
• Excellent verbal/written communication skills; with the ability to distill complex topics into easily digestible summaries and clear action items.
• Able to engage in positive interactions with co-workers, executives, and high-level industry professionals; comfortable prioritizing, organizing and following up with tact across all levels of the organization.
• Great attitude and ability to remain calm in a fast-paced environment; helpful, friendly and diplomatic
• Strong organizational skills and attention to detail
• Creative problem-solving skills are a must
• Ability to successfully handle multiple projects simultaneously, prioritize needs on the go and support others in doing so.
• Proficiency in Microsoft Outlook, Word and Excel strongly preferred, with demonstrated ability to learn new software
• Ability to travel and work flexible hours, including evenings and weekends on occasion
