THE JOB
As the Venue Administrative Assistant, you'll support the General Manager and operations team with essential administrative duties. Your ability to prioritize, manage projects, and work independently will be key in ensuring smooth operations behind the scenes.
WHAT THIS ROLE WILL DO
• Provide administrative support to the GM, including managing calendars, scheduling, and handling correspondence with utmost confidentiality.
• Update and circulate weekly Event Calendars and Ticket Counts.
• Process invoices daily for both fixed and event-related expenses.
• Manage the Fixed Expense Tracker and report monthly accruals.
• Reconcile receipts for corporate card expenses each month.
• Set up show files on BOX, upload reports post-event and enter expenses in the Flash Report to share with finance.
• Answer and direct calls for special events and rental inquiries.
• Respond to incoming Info emails, directing inquiries to relevant departments.
• Manage lost and found items using Pix It.
• Create credentials for new team members and maintain the Manager Log.
• Receive and distribute mail and incoming packages as needed.
• Keep the venue office and breakroom tidy and organized, order supplies as necessary.
• Oversee office equipment maintenance.
• Maintain the Event Info Board and update Ticket Specials, including poster and flyer printing.
• Provide day-of-show support for events as needed.
• Additional duties as assigned by the GM and Operations Manager.
WHAT THIS PERSON WILL BRING
• Self-motivation and initiative: You're proactive, eager to contribute, and can manage tasks independently.
• Strong communication skills: Excellent written, verbal, and interpersonal communication, with the ability to build relationships at all levels.
• Tech-savvy: Proficient with Microsoft Office (Outlook, Word, Excel) and quick to learn new tools.
• Attention to detail: Ability to remain organized in a dynamic, fast-paced, deadline-driven environment.
• Music industry interest: Enthusiasm for music, knowledge of artists/genres, and interest in learning more about the concert and touring industry (experience preferred).
• Confidentiality: Ability to handle sensitive matters discreetly and exercise good judgment.
• Teamwork: Enjoys collaborating but can also work effectively alone.
