We are looking for a competent Office Assistant to help with the organization and running of the daily administrative operations of the company.

He/she will be handling incoming phone calls and other communications, greeting clients and visitors, as well as managing files, updating paperwork and other documents, and performing other general office clerk duties and errands.

This person will perform duties such coordination of meetings, supplies purchase, direct mailings coordination, support to the special projects as well as to other functions and teams across the business, including the offices of Sao Paulo, Asuncion and Buenos Aires.

• Perform general clerical duties including but not limited to filing, photocopying, faxing, and incoming/outgoing mail.
• Perform receptionist duties, greeting clients and visitors as needed.
• Serve as the central point of contact to receive and redirect company's phone calls and other communications related to client/providers support.
• Communicate with vendors on behalf of the Company, via email, phone, or direct contact maintaining trusting relationships.
• Order and oversee inventory of all office supplies.
• Help organize and maintain office common areas.
• Resolve office-related malfunctions and respond to requests or issues.
• Communicate with counterparts in other locations as directed by Supervisor.
• Coordinate with department heads to ensure compliance with established policies.
• Process and prepare financial and business forms for the purpose of checking account balances, facilitating purchases, etc.
• Check and scrutinize invoices for accuracy.
• Process and reconcile bank deposits.
• Assist in the preparation of regularly payment batch.
• Handle sensitive information in a confidential manner.
• Assist the Head of Finance in creating financial reports on a regular basis
• Attend finance department and company-wide meetings, sometimes assisting with financial reporting to managers and senior executives
• Suggest changes or improvements to increase accuracy, efficiency, and cost reductions.
• Perform other duties as assigned.

• At least 2-3 years' experience as an Administrative Assistant, office clerk, or related roles.
• Computer literate, with a strong working knowledge of Windows, navigating the internet, proficient in Word and Excel.
• Proven ability to maintain confidentiality and professionalism when handling sensitive information.
• Acute attention to detail.
• Creative, flexible, and innovative team player.
• Effective organization and prioritization skills and ability to meet deadlines.
• Ability to multi-task and support several department heads.
• Ability to work in fast paced, high pressure environment under extreme deadline pressure.
• Strong interpersonal and communication skills.

• Willing to work on large scale events; working long hours and in stressful event situations.
• Knowledge of human resources or financial processes and systems is a plus.
• Available and willing to travel.
• Fluent in English and Spanish is a plus.
