Job Description
Hearst's Enthusiast Group is seeking a highly organized and detail-oriented Administrative Assistant. The successful candidate will get the opportunity to work with all brands in the group-Runner's World, Bicycling, BestProducts.com, Popular Mechanics, and Biography.com-and be responsible for initiating, managing, and overseeing the contracts of freelancers across the various departments, ensuring compliance and streamlining the contracting process.

This role follows a hybrid model, in-office 3 days per week, and is based in our Easton, PA, office. We will not be able to consider remote candidates.

Resonsibilities:

What You'll Do:
• Serve as the primary point of contact for editors and freelancers concerning contracts and assignment agreements.
• Prepare and administer contractual agreements, including drafting, reviewing, and finalizing contracts.
• Ensure all contracts are signed and stored properly and maintain an organized system for tracking and managing contracts throughout their lifecycle.
• Collaborate with legal, finance, and department heads to ensure contracts align with company policies and legal requirements.
• Assist in tracking assignments and invoices and liaise with the finance department to ensure timely payments to freelancers.
• Facilitate the onboarding of freelancers by guiding them through the completion of supplier forms and ensuring proper collection and processing of necessary documentation for compliance and payment setup.

• Excellent communication and interpersonal skills.
• Proficiency in contract management software and MS Office Suite.
• Ability to manage multiple contracts and projects simultaneously within tight deadlines.
• Problem-solving skills and a proactive approach to resolving issues and mitigating risks.
• Bachelor's degree.

The base salary for this role is $55,800. The actual base pay offered is dependent upon many factors, such as: transferable skills, work experience, business needs, and market demands. The base pay range is subject to change and may be modified in the future.

This is a position covered under the Writers Guild of America, East, Collective Bargaining Agreement.
