Framestore has offices in London, New York, Los Angeles, Chicago, Montreal, Melbourne and Mumbai.
As an integral part of the New York Studio the Front of House Coordinator is responsible for ensuring that the office is a well organized, clean and welcoming space for both staff and clients alike. They will organize internal and external hospitality and customer services. They will coordinate agreements and contracts with suppliers (including all catering and office supplies) with the oversight of the Client Services and Studio Manager (based in Chicago) and provide support and training to the Office Runner.
This is a staff role with benefits and will require working 5 days per week (Monday - Friday) on-site at our NY studio.
Responsibilities:
• Attend to the Front Desk, making sure they, or the Runner, are available to greet any clients or other visitors
• Answering incoming calls when the Runner is unavailable
• Ensure Security and Safety standards are met at all times and are consistent with our lease and partner agreements.
• Provide high quality catering to any visiting clients from their arrival at reception until their departure
• Organize staff catering and any special events (daily breakfasts, drinks, team/company get togethers, seasonal events etc), helping to encourage staff to come into the office and ensure they have an enjoyable experience when they are present in the office
• Have a creative approach to presentation of food and drink for both staff and external visitors
• Liaise with either the Landlord on any repairs or directly with Contractors where Framestore is responsible for repairs (with the support of Studio and Client Services Manager)
• Ensure the cleaners are completing their tasks to a high standard
• Organize general office supplies
• Liaise with the global marketing team on branded office supplies (notepads, pens etc) and project artwork
• Assist Studio and Client Services Manager with the training, onboarding, and scheduling of Runner team
• Support Studio and Client Services Manager in reviewing and approving of supplier invoices against contracts/orders and ensure that they are within budget
• Adhere to facilities operation budgets set by Director Operations and Infrastructure and/or Studio and Client Services Manager, which cover kitchen, entertainment, and office materials
• Assist in maintaining overall appearance of the studio, in collaboration with the management team/Global Head of Operations and Infrastructure, including but not limited to updating infrastructure furniture, decoration, artwork, overall aesthetic
• Assist in the Overtime meal distribution and ensure that staff-selected restaurants and menus respect budgets as dictated by company policy, while ensuring that an appropriately wide selection of meals are on offer
• Ensure that catering facilities such as tea- and coffee-stations, kitchens etc., are cleaned and stocked to the highest standards
• Assist with travel bookings when required
• Hands-on approach towards client service, making a positive contribution to both the internal staff and external client experiences at Framestore

• Attention to detail and the ability to ensure that the interior decor/presentation is of a high standard

New York City Employees: Pay Range: $52,000 - $60,000 per year.

The range for this same position may be lower or higher in markets outside of New York City. Pay is dependent on the applicant's relevant skills, experience, and qualifications.
