We are looking for an Office Manager/Personal Assistant to join our growing team. If you're an energetic professional who doesn't mind wearing multiple hats, passionate about ensuring everything runs like clockwork in an office, and obsessed with organising office activities and coordinating culture initiatives, you're the person we're looking for.

Finn Partners Singapore is an integrated marketing agency, offering a full suite of communication services spanning public relations, digital marketing, content marketing, marketing analytics and insights, and social media marketing.

As part of your day-to-day job, you will:
• Manage office facilities & vendors including managing the lease, office fitouts, equipment purchases, office & pantry supplies, cleaning services, security services, and other suppliers.
• Provide administrative support to the Managing Partner to enable her to operate efficiently and manage the company.
• Maintain employee lists, organisation charts and other company documents.
• Support & administer office culture initiatives, including service anniversary recognition, birthday gifts/celebrations & special events.
• Contribute to maintaining a safe and conducive office through designing and implementing office policies and guidelines.
• Provide administrative support to the Agency Leads when required.
• Contribute to enhancing company culture.
• Provide IT administration support through liaising with helpdesks, onboarding new users, escalating IT support issues, managing and ordering IT equipment
• Procure or produce company collaterals (e.g. letterheads & templates, branded swag, trade announcements, and so on).

We are looking for someone with:
• Proven work experience as an Office Manager & Personal Assistant or relevant role
• Computer literacy (MS Office applications, in particular)
• Excellent time management skills and ability to multi-task and prioritize work
• Strong organizational and planning skills in a fast-paced and ever-changing environment
• An open mind with an ability to suggest improvements
• Strong phone, email and in-person communication skills ​​​​​​​
• Ability to work independently, is proactive and is a problem-solver
• Diploma or Certificate in Business Administration is preferred
