Acquisitions Coordinator (3-month fixed-term contract)

Summary:

The Acquisitions team for international distribution is responsible for acquiring the best content from around the world for the eOne catalogue.
Over the past 5 years, the department has provided a steady pipeline of new scripted and non-scripted titles for the catalogue and maintain and manages all aspects of these titles in the catalogues. Recent titles that have driven revenue and raised the profile for the company include: FAMILY LAW, THE NEWSREADER, AFTER THE VERDICT a nd HEARTLAND.

The co-ordinator role is central to the functioning of the department. As well as offering key administrative support to the EVP, VP and Director of Acquisitions, it will be heavily involved in the overall acquisitions process by which eOne values, invests and acquires content from the international market and will act a central point of contact for all eOne departments and external suppliers for new content coming into the company.

It is a critical immediate hire for the department to maintain the quantity and quality of titles flowing through the department (approx. 100 hours per year), to enable smooth ingest into the eOne system as well as to support the crucial sales team activity to hit yearly targets, through necessary communication on rights, availability and material delivery.

Key Responsibilities:
• Provide full administrative support for EVP, VP and Director of Acquisitions, including managing meeting diary, filing and tracking of expenses, travel and accommodation bookings, preparation of market and trip notes as required. This will include full support during markets (MIPCOM, MIPTV etc).
• Set up and arrange the weekly Acquisitions meetings, including the preparation and distribution of the agenda, room bookings, dial-in numbers set up and any a/v requirements are arranged and operational. Run the meetings by ensuring all participants are in attendance and all minutes and updates are logged and noted.
• Manage, distribute (as required) and store centrally all submissions into the department so they are easily retrievable by all members.
• Take ownership of the Acquisitions tracker document, detailing all submissions under review and making updates required on an ongoing basis.
• Set up and arrange the biweekly Acquisitions / Sales update and new content meetings, ensuring all elements are arranged and set up correctly. Including taking minutes of meetings for later distribution.
• Under direction, prepare and send out distribution forecasts on potential new acquisitions, liaising with the sales team for the numbers and as well as liaising with Finance for correct and accurate data.
• Once forecasts are complete, take ownership of the forecast / approval documents ensuring that all relevant information is in place and liaising with the relevant departmental and company figures to complete the paperwork for internal project approval.
• Be a central point of contact for all internal departments (materials, legal, finance, sales) and assist them in a helpful and proactive manner.
• Under instruction, contact producer suppliers as required.
• To deal with other Acquisitions tasks as required and instructed.

Key Competencies:
• A strong understanding of all Microsoft tools, particularly Excel
• Exceptional attention to detail and excellent organization skills.
• High standard and range of administrative skills
• The ability to multitask, work under pressure and meet deadlines
• A keen eye for detail and sense for accuracy.
• Excellent communication skills with a polite, courteous and proactive attitude and an excellent ability to express themselves well when writing or talking.
• Confident personality with good influencing skills.
• Knowledge and passion for TV.
