Office Assistant – The Wall Group

The Wall Group is currently seeking an Office Assistant who will be responsible for supporting the office needs and assisting in departmental projects. You will be in charge of sharing up-to-date information relating to the office, staff, resources, and ongoing projects on a rolling basis. As the Office Assistant, you will help design and implement processes and workflows to help maximize efficiency. This position requires impeccable organizational, project management and problem-solving skills.

The ideal candidate has experience in being an integral part of a team that provides seamless support. Your attention to detail, organizational and follow-up skills ensure your success. Responsibilities:
• Greet visitors and answer phones, ensuring a warm and welcoming atmosphere for all guests and assist with reception as needed.
• Interact with all levels of staff, talent, and vendors on a daily basis with the highest level of professionalism.
• Receive, sort, and distribute incoming mail in addition to preparing outgoing mail for delivery through various channels, including inventory management of product requests.
• Liaise with Endeavor's corporate teams (including IT, Facilities, etc.) and vendor office support.
• Manage various requests from talent and staff to ensure daily operations are running smoothly, including the purchase and coordination of artist and client gifts.
• Maintain conference room reservations and communicate daily schedules to the larger team.
• Create and maintain an inventory of office and kitchen supplies.
• Organize and maintain office common areas, ensuring the office is always operating at top functionality.
• Perform general administrative activities, including errands to support all staff and assistance with TWG events.
• Update and maintain databases, such as mailing lists, contact lists, and client information.
• Routine expense management and reconciliation.
• Help arrange and assist with the onboarding of new employees on the team.
• Ad hoc projects as required by the business.

Qualifications:
• Excellent written and verbal communication skills.
• Strong attention to detail.
• Comfortable dealing with a variety of people on the telephone, e-mail, and in person, in a friendly, efficient, and professional manner.
• Outstanding organizational skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
• Handles confidential information with discretion.
• Remains one step and thrives in a fast-moving environment.
• Prioritizes effectively to meet tight deadlines while demonstrating poise, resourcefulness and the highest level of professionalism.
• Demonstrated interest in fashion, beauty, media, and/or entertainment preferred.
