Role: Film, Advisory Assistant

Reports to: Film Advisory Executive

Responsibilities:
• Provide support to Executive including but not limited to calendar management, travel arrangements, answering phones, drafting correspondence and general administration. Other ad hoc tasks as required.
• Independently gathers, compiles and analyzes information from multiple sources; prepares a variety of complex reports, manuals or agendas.
• Composes routine and non-routine correspondence, memoranda, reports, etc., which are generally confidential in nature.
• Uses various PC software packages such as spreadsheets , word processing, and graphics to produce high quality reports, presentations, or other documents.
• Acts as liaison between the Executive and their direct reports, as well as internal and external contacts. Coordinates activities, conducts research and ensures that requests are carried out.
• Handles Executive's e xpenses.
• Responsible for ordering and maintaining office supplies for the department. Maintains records on all repairs and orders.
• Liaising with clients and buyers domestically and internationally with a requirement to coordinate daily in particular with the LA-based team.
• Joining regular meetings with the film and tv teams, and participating in creative tasks such as script-reading.
• Managing project and talent tracking grids, assisting in project submissions and other creative administration tasks.

Qualifications:
• Previous experience supporting executives. Preferably within the entertainment industry.
• Highly motivated and energetic with excellent written and oral communication skills.
• The ability to remain focused while multi-tasking, with a hardworking, professional attitude.
• Exceptional time management, reliability and prioritization skills
• Strong organizational skills and great attention to detail.
• Strong written and verbal communication skills.
• Previous experience practicing confidentiality and discretion at all times.
• Proficiency utilizing Microsoft Word, Excel, Outlook.
