Job Title: Executive Assistant, COO - IMG Performance

FLSA Status: Non-Exempt

Position Summary: IMG Academy is seeking an Executive Assistant to COO, IMG Performance who will be responsible for providing support to the COO. The ideal candidate will exercise discretion and independent judgment, as well as the ability to interface and work with executive and senior level business leaders and their teams. The candidate will have the ability to effectively manage the scheduling of calls, meetings, travel, and a high-volume workload.

Position Responsibilities
• Assist with management of incoming/outgoing communications, including confidential information, calendars, planning/scheduling meetings, conference calls, etc.
• Provide phone support, organize calls, listen and proactively set follow ups
• Manage all travel logistics, draft travel booklet itineraries and agendas
• Complete expense reports using Concur in a timely manner
• Assist with scheduling of building conference rooms, times and attendees and audio/visual equipment
• Assist with scheduling catering for meetings and visitor registration
• Print and organize documents
• Be fully across and aware of the executives day-to-day activity
• Assist with Academics presentations, power points, excel sheets, etc.
• Assist with revision of projects including preparation, word processing needs, drafting of letters, and finalization of agreements as directed.
• Liaise with Academy staff at touch point for Executives
• Assist with daily building administration duties such as stocking of kitchen snacks and beverages, maintaining office supplies, and distribution of mail
• Adhere to all company policies, procedures and business ethic codes
• Other responsibilities as assigned

Knowledge, Skills and Ability
• Bachelor's Degree or equivalent experience
• Proficient in PowerPoint, Excel and Word
• Ability to collaborate, build relationships, and communicate positively and professionally with all internal and external constituents
• Ability to work with all levels of management
• Exceptional grammar and proofreading skills
• Detail-oriented and proactive
• Exceptional interpersonal skills
• Firm commitment to confidentiality and respect for sensitive information
• Excellent written and oral communication skills

Preferred Skills
• Bilingual

Physical Demands and Work Environment
• Ability to work flexible hours to include nights, weekends and holidays is required
