The Role and What You'll Do:
On Location is looking for a Coordinator to be part of the Workforce Operations team in Paris working on the Olympic & Paralympic Games. This position will report to the Director, Workforce Operations Olympic & Paralympic Games. This position will work within the global Workforce Operations team and will assist with developing, recruiting, and growing the pool of non-payrolled workforce supporting the On Location Olympic hospitality teams' operation during the Olympic & Paralympic Games.
• Provide assistance to leadership, management and HR & staffing agency to ensure all staff paperwork is finalized (confidentiality agreement, contract, finalize dates, etc).
• Assist Senior Manager, Local Staffing Agencies and HR to learn contract restrictions and process to create timesheets/manage timesheets
• Assist in the implement and maintain consistent onboarding practices across On Location while adapting to the specific needs of respective teams
• Assist Senior Manager on working directly with the Housing team to ensure that on-site accommodations meet the needs of all staff
• Work closely with Senior Manager and assist to understand IVH,OVH and NOC teams their staffing needs.
• Represent On Location at job fairs, university, and volunteer programs alongside other On Location staff departments.
• Work with Senior Manager to oversee On Location's Ambassador and Volunteer Programs
• Assist with on-site training for major events
• Assist with creation and distribution of event-related communications to applicable staff
• Assist with the management of operational planning responsibilities around the following:
- French Based Volunteers, Ambassadors, Interns
-Local talent recruitment
-Billing, reconciliation, and collection process for operation services
-Onboarding and training
• Assist with the creation and distribution of operations-related communications to applicable staff (e.g., travel and accommodations)
• Work in conjunction Senior Manager and communicate diligently as it relates to IVH/OVH and NOC Staff Operations, including but not limited to the following departments:
-Product Architecture
-Hotel Accommodations
-Transportation
-Operations
-Event Experiences
• Cultivate a working knowledge of all operations events/services
• Assist with the reviewing of post-event notes and client surveys to ensure brand quality standards and levels of service were achieved.
• Maintain the collection, input, and documentation of event summary information
• Execute all other duties assigned by the team or leadership
• Available to assist other workstreams related to Olympics as needed
Administrative & Other Responsibilities
• Work with remotely based Senior Director and Director and closely with Senior Managers, Managers, Coordinators, in the department to create a positive and efficient environment focused on executing with excellence
• Involved with oversight and facilitation of the overall On Location global workforce strategy, with a focus on Olympic events
• Create presentations and documentation in Microsoft office (PPT, Word, Excel, etc.) or Keynote as needed and assigned.
• Attend meetings and take notes to record updates and next steps, when required
• Manage timelines and deadlines related to assignments.
• Participate in brainstorm sessions; research, ideate and provide creative ideas.
• Cultivate a working knowledge of all operations events/services
• Execute all other duties assigned by the team or leadership
• Available to assist other workstreams related to Olympics as needed
You Have These
• Bachelor's Degree in Project Management, Technology, Hospitality, Sports Management, Business or a related field, or equivalent experience preferred.
We'd Love If You Also Have These:
• Experience with multiple technologies and proprietary system development related to Staff scheduling and operations management, inventory management, and data analytics.
• Exceptional interpersonal skills – a collaborative style and ability to communicate effectively at all levels with strong oral, written, and presentation skills.
• Excellent time-management and organizational skills.
• Excellent situational analysis and decision-making skills.
• Experience in the Travel & Hospitality industry.
• Experience working with multiple technology and software platforms, including but not limited to Office 365 platform, Asana, Smartsheet, and other digital collaboration systems.
Travel: Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. International travel may be required. Expected travel may range from 5-10% annually.
