HR Associate (Fixed Term Contract - 12 months)
About the Role & Team
We are looking for an enthusiastic HR Associate to make a meaningful impact and be part of a dynamic team. Join us in shaping the magic behind the scenes!
This role focuses on providing inquiry services, and transactional and administrative support to all levels of employees across the region for Global HR Operations work, processes, and policies. Responsibilities include responding to a large number of inquiries via case tool, Live Chat and Phone. The role also includes conducting routine, standard transactions across multiple systems.
This is an office-based role. 4 days working in the Hammersmith, London office with 1 day working from home (Monday or Friday).
What You Will Do
• Enterprise Inquiries: Manage a high volume of HR-related inquiries via all Global HR Operations service delivery channels, utilising knowledge management tools and case management systems to provide accurate information on various employee life cycle topics, from induction to offboarding.
• Research and resolve inquiries in alignment with local and regional legislation, and perform routine transactions following standard operating procedures.
• Transaction Processing and Tracking: Draft and manage employee paperwork, ensuring accurate signatures and maintaining documentation in both the HR database and physical files, while transacting high volumes of HRIS inputs and changes daily.
• Ensure data accuracy, security, and completeness, and keep documentation updated, including Standard Operating Guides and training materials.
• Build and coordinate processes for key HR milestones (e.g., probationary periods, contract reviews, and leaves), and review payroll-related data while coordinating with other departments and handling Data Subject Requests in line with GDPR guidelines.
• Consumer Services: Provide excellent and efficient customer service with a friendly and 'can-do' attitude. Recognise and call out customer issues by reviewing individual case history, guide employees with ease in group settings or individually (e.g., delivering induction presentations to new starters, holding one-on-one meetings for policy guidance), and identify inquiries for triage to other key teams in the organisation.
• Systems Knowledge: Utilise proven understanding of multiple applications, including Time recording systems, SAP, Workday, SuccessFactors, ServiceNow, Microsoft Office suite software, Access database, and other software relevant to the GHRO scope. Identify failures and inconsistencies in these systems, bringing up issues to management or relevant teams, and provide support to junior team members and with more complex/atypical transactions.
• Problem Identification: Find opportunities in ServiceNow / D Tools HR content and process steps, line up recommendations for change, and participate in process development, improvement, and testing as needed.
Required Qualifications & Skills
• Previous work experience in employee services, HR Administration, HR Operations or Customer Service Centre roles.
• Solid verbal and written communication skills in English.
• Partnering skills to be able to collaborate with different stakeholders and clients.
• Demonstrable experience with multiple systems: Time recording systems, SAP, Workday, SuccessFactors, ServiceNow (case and knowledge management system, document management (DM), Microsoft Office suite software, Access database, and other systems specific to performing the work.
• Capability to process and complete work/transactions across the region and the different LOBs.
Preferred Qualifications
• Proven understanding of applying legislation, policies, and procedures applicable to the country and region.
• Proficiency in recognising case notes to provide excellent customer service and to identify/raise other issues or root causes.
• Ability to identify daily operational gaps and patterns that indicate systemic issues, proactively address them and deliver feedback to management.
