OVERVIEW

CAA, which acquired ICM Partners in 2022, has expanded its operation in London, bringing the agency's publishing business in-house. A fast-paced and growing department selling rights to the CAA list across all languages, territories, and formats to establish and develop literary careers worldwide; we work with internationally acclaimed and bestselling authors across fiction and non-fiction.

We are looking for a new detail-oriented and efficient Publishing Assistant to join our team, primarily to support two of our Agents. This Assistant will work on a client list comprised of UK- and internationally based authors, including names like Margaret Atwood, Eliza Clark, Oliver Bullough and Caleb Femi as well as many other bestselling and prize-winning writers of fiction, non-fiction, children's and YA books.

Responsibilities to include, but are not limited to:

Administration
• Processing post, author copies and book orders
• Tracking invoices and payments
• Drafting and track contracts throughout entire process of a deal in conjunction with the Agent and Contracts Manager
• Sending material to authors for approval
• Reading and comment on authors' new material and submissions, and manage incoming submissions
• Providing administrative support to the Agents, including diary management, booking travel, scheduling meetings, expenses, interviews etc
• Helping to collate guides for book fairs and handle all administration around the fairs including scheduling, creating guides and organising passes
• Handling post, author copies and book orders

Systems management
• Logging all Agent's deals on the relevant databases within a timely manner
• Keeping relevant databases updated

Communications
• Acting as the primary point of contact for Agent/s, and facilitate and respond to communications and enquires (via email and phone) both internally and externally e.g., with authors, clients, colleagues
• Handling enquires about rights sales, publicity and finance
• Liaising with the Agents on submission lists and prepare marketing materials, and day-to-day author business
• Requesting, creating and sending publication roundups when necessary
• Responding to clients, industry colleagues and internal departments in a timely manner
• Preparing newsletters, and write website and marketing copy
• Supporting with the creation of submission letters to publishers and creating publication round-ups
• Working closely with colleagues in the Translation and Book-to-Screen departments

QUALIFICATIONS/REQUIREMENTS
• Relevant experience in a similar role within an agency, publishing house or within the industry (desirable)
• A passion for books and reading, with a keen interest to develop a career in the publishing industry
• Ability to identify trends within the publishing industry and associated industries e.g. media such as podcasts, film, TV, and visual arts
• Excellent written and verbal communication skills
• Excellent attention to detail
• Impeccable organisational skills with the ability to multi-task
• Ability to effectively prioritise and work to deadlines
• Ability to remain composed under pressure within a fast-paced environment
• Ability to work off own initiative
• Strong problem-solving and entrepreneurial skills
• Client focused and service orientated with strong interpersonal skills
• Experience building successful relationships with clients and internal and external colleagues
• A team player that contributes fully to the team effort and plays an integral part in the smooth running of the team
• Proficient in Microsoft Office suite, including Microsoft Word, PowerPoint, and Excel
