Receptionist

Job Description

Please note this is a in-office position and requires you to work from our Vancouver studio for the work week. This is not a remote opportunity.

What you'll get to do:
• Act as first point of contact for the Vancouver studio:
• Meet and greet clients/visitors/guests in a professional, courteous and friendly manner at all times
• Issues visitor passes and ensure all visitor protocols are followed
• Answer all telephone calls in an efficient, professional and timely manner ensuring any relevant information is passed on to staff
• Ensure the Reception area, client areas and meeting rooms are neat, presentable, and stocked throughout the day
• Update and maintain documentation and a web-based notice board (staff portal)
• Responsible for accurate and detailed minute-taking at facility meetings
• Ability to schedule and coordinate meetings and events
• Manage incoming and outgoing mails as well as couriers in a timely manner
• Communicate information as required to all staff and provide tour of facility to all new employees
• Liaise with the general contractors for small jobs
• Work with vendors to place, receive, and reconcile orders
• Provide assistance with the organization, communication, set-up, and clean-up of Company and staff events
• Liaise with relevant departments & managers to maintain an awareness of staff movements, including events & meetings
• Set up and place meal orders as required
• Book travel and provide support to travelling executives between our studios as directed
• Respond to facilities/general building help desk requests as directed
• Respond to ad hoc cleaning requests as directed
• Support the Workplace Coordinators, including relief duty, when required
• Assist with general administrative support as required

What you bring:
• Experience as a receptionist and/or office assistant, or in a similar customer-facing role would be an asset
• Intermediate level experience with Google and Slack
• Good verbal and written communication skills
• Strong organizational and interpersonal skills with a proactive, adaptable, and customer focused approach
• Ability to maintain professionalism both in person and on the telephone
• Ability to work well under pressure and to tight deadlines
• Ability to work autonomously and/or collaboratively on projects
• Ability to apply sound judgement and be results oriented
• Flexible attitude and willingness to sometimes work outside of the usual office hours
• Valid driver's license is not essential, but is considered an asset

The base wage range for this position is $20.19 - $27.88 per hour. The wage offered for this role will be commensurate with, but not limited to, job-related knowledge, skills, years of experience, relevant education, and other applicable qualifications related to the role. The wage offered is based on a 40-hour work week and is not inclusive on Animal Logic's extended benefits package, long-term incentives, bonuses, overtime pay or other components that may be applicable to the total compensation package for this role.
