Job Description
Position Summary:
The Settlement Coordinator is responsible for assisting with the oversight of the regional office-wide settlement process. This includes coordinating schedules or settling shows at both internal and external venues. Interfacing between accounting, production, and booking departments to assisting with budgets, artist settlements, and financial closing of events.
Essential Functions:
• Assist in oversight of regional office-wide settlement procedures and training. Identify and communicate new systems or processes to ensure accuracy, consistency and efficiency in the settlement process.
• Coordinate with multiple internal departments to remedy any discrepancies and to close outlying action items on an event-by-event basis.
• Settle one off events or schedule settlers as required. Monitor processes and track timelines to guarantee settlements are completed timely and accurately.
• Serve as liaison between settler, accounting, and venue or partner to facilitate reconciliation on co-promoted events and account for or any errors, or adjustments that need to be made post night of settlement or during pre-settlement.
• Perform artist and internal settlements for one offs, festivals, and stadium-level events.
• Assist with the reconciliation end of month closing of all settlements into night of show status to ensure accurate payment of variable expenses.
• Assist with data analysis of cost and budget from pre-settlement through the night of show or post settlement to ensure budgets are being adhered to and provide insight and recommendations based on trends, projected expenses, and returns to the Venue and Talent Buyer.
• Provide feedback on settler proficiency and placement. Facilitate ongoing training in company booking software.
Required Qualifications:
• A minimum education level of: Bachelor of Arts/Sciences Degree (4-year) in a related field
• 2-4 years of related work experience
• 2-4 years of supervisory experience
• Ability to lead, mentor, and/or coach staff
• Working knowledge of technical aspects of concert production
• Exceptional customer service skills with the ability to build and cultivate relationships
• Proficient in Microsoft Office Suite (Word, Excel, Outlook); and ability to learn required business systems
• Excellent written, verbal and listening communication skills
• Works well under pressure and in a fast paced environment
• Experience interpreting event contracts and developing accurate production budgets
• Highly organized with excellent attention to detail
• Must be extremely flexible to work long hours, nights, weekends and holidays
• Experience working in music industry preferred
