Your Mission

ABK is looking for a Global Mobility Benefits Specialist to join our team. The position will focus primarily on immigration and relocation needs across our Canada studios located in Quebec City, Vancouver and Toronto.

Required – Bilingual in English/French – speak/write/translate

Ideal candidate would be a subject matter expert in all things Global Mobility (immigration and relocation; tax is a plus). Have knowledge of extended health benefits and Registered Retirement Savings Plan (RRSP) and Tax-Free Savings Accounts a plus. Must be bilingual in English/French. It's extremely important you are a team player who can adapt to a fast-paced and ever-changing environment to be successful.

Priorities can often change in a fast-paced environment like ours, so this role includes, but is not limited to, the following responsibilities:

Day to Day

Serve as point of contact for day-to-day questions regarding immigration, relocation, and processes from internal stakeholders (foreign nationals, HR, Legal and managers). Come to the team with an open mind and ideas to improve the global mobility program. Most importantly, have fun while working hard.

Immigration
• Serve as the point of contact for HR Business Partners and Talent Professionals to assess if sponsorship for potential candidates is a requirement
• Manage new hire immigration cases by partnering with outside immigration partner and manage expectations from start to finish
• Familiar with Canadian Immigration requirements/process
• Work with current employees to ensure continued work authorization including amendments, extensions, and permanent residency
• Continuously communicate timeline with the various parties involved - employee, manager, HR Business Partners, and Director, Global Mobility
• Partner with Director, Global Mobility to develop and own the internal process for permanent residency requirements and ensure we follow all country specific immigration compliance requirements and documentation.
• Collaborate with internal partners such as HR Operations, HR Business Partners, Recruiting, Payroll, Legal, Corporate Tax, Finance and Accounting to create solutions on streamlining cross-functional processes
• Data integrity a must. Ensure and maintain immigration data is accurately maintained in Workday and other systems and work in conjunction with the broader HR Operations team advising on immigration compliance and audits when needed
• Provide general information, education, and guidance to HR Business Partners, Talent Professionals, and candidates regarding requirements for entry to specific country that are in line with immigration regulations
• Maintain Global Mobility intranet site for Canada, which will include but not limited to, process workflows, policy guidelines, and other necessary resources

Relocation
• Serve as the point of contact for HR Business Partners and Talent Professionals to assess relocation benefits and requirements
• Continue to build strong relationship with relocation partner and sub vendors
• Work closely with peers, HR Operations and HR Tech to develop a more streamlined approach as it relates automating relocation benefits via Workday
• Provide ongoing training/updates to HR Business Partners, Talent Acquisition and Senior Leaders as it relates to relocation benefits and/or immigration
• Conduct relocation surveys via survey tool bi-annually

Benefits
• Distribute extended health related group insurance and retirement documentation to employees;
• Meet with employees to review benefit enrollment forms
• Process all new hire enrollment forms within each Vendor's systems for extended health and RRSP plans;
• Update data within each Vendor's systems regarding benefits and RRSP plans based on life event changes that occur throughout the year, such as, (termination, disability, status changes, salary changes, addresses changes etc.);
• Answer employees and managers questions regarding benefits; escalate benefit related issues to Benefits Team and Benefits Vendor as needed.
• Partner with Finance/Payroll to ensure employee deductions and taxable benefits are added or removed
• Ensure that the intranet includes the necessary benefits details and update as necessary; draft communications as necessary to update employees on new benefits and changes to benefits as needed.

Player Profile

Requirements:
• At least 2-4 years of experience in a similar role and able to demonstrate knowledge and/or experience in Global Mobility
• Knowledge of benefit administration a plus
• Work independently and take initiative to provide consultation to all levels of staff
• Partner closely and align with global mobility team across APAC, EMEA, US
• Excellent relationship building skills
• Must be able to effectively manage and prioritize multiple tasks
• Knowledge working with tax, legal, payroll, benefits, on potential issues related to cross border movement is a plus
• Experience managing external partners/vendors
• Best in Class customer-service focused
• Strong attention to detail
• Effective and concise verbal and written communications skills. Must be able to communicate difficult messages in a clear and concise manner
• Ability to demonstrate complete discretion when handling sensitive and confidential information.
• Familiarity with Workday, Workday Recruit and MS Office
